What they need
Know lumber? Keep jobs moving.
Scherer Bros. Lumber Co. is hiring a Labor Solutions Office Coordinator in Arden Hills, MN. At Scherer Bros., we succeed by working together to fill our customers' needs, and this role is where that happens every day. If you've worked a lumberyard counter, a building-materials desk, or a contractor-sales office, you already speak this job's language: will-calls, acknowledgments, installer crews, and getting the right material to the right site at the right time.
About the role
You'll be the organizational hub of our Labor Solutions team, reporting to the Labor Solutions Manager. You'll support Project Coordinators and installation crews by managing material orders, setting up and closing out jobs, handling installer payroll and compliance, and serving as a go-to contact for vendors and clients.
You'll connect the office, the field, and our customers so nothing falls through the cracks. When a crew needs material, a client needs an answer, or a vendor needs a correction, you're the one who sees the need and fills it. It's a great fit for a team player who likes detail and understands how a materials order turns into a finished install.
What you'll do
Orders and materials
- Order materials for active jobs, receive deliveries, and verify vendor acknowledgments
- Enter all orders in BisTrack
- Create will-call tickets with installers and project managers, including paint and caulk will-calls in winter
- Help decide when to ship material to the job versus hold it
Job setup and contracts
- Open Labor Solutions contracts once Credit approves the job start
- Build physical and digital job folders with plans and documents
- Review client contracts for signatures, initials, and deposits
Installers and scheduling
- Enter weekly installer payroll in BisTrack
- Track installer insurance and required paperwork for compliance
- Schedule material pick-ups and keep Monday.com current with job plans and field documents
Billing and month-end
- Invoice contracts, close out jobs, and consolidate folders for filing
- Process vendor credits and return credits
- Support general invoicing and billing
Team and systems support
- Use and help test Bluebeam, including maintaining the Bluebeam pricing spreadsheet
- Serve as a primary contact for vendors and clients
- Support installation crews and help prepare for team meetings
- Travel occasionally to Scherer Bros. locations, job sites, and events
What you bring
Required
- High school diploma or equivalent
- 2+ years of customer service experience
- Strong written and verbal communication with clients, vendors, and crews
- Sharp organization, time management, and attention to detail
- Solid math and problem-solving skills
- Proficiency in Microsoft Word, Excel, and Outlook
- Valid driver's license with an acceptable driving record
- Ability to lift up to 25 pounds
You'll stand out with
- Experience in a lumberyard, building-materials dealer, millwork, or construction-supply setting
- Familiarity with BisTrack or another lumber/building-materials ERP
- Experience with will-calls, purchase orders, vendor acknowledgments, or reading plans and takeoffs
- Background coordinating installers, subcontractors, or field crews
- Exposure to Bluebeam or Monday.com
- Prior administrative or project coordination experience
