  • Serve as the point of contact for administrative and operational needs at the site, identify issues, and coordinate appropriate follow-up.

  • Work collaboratively with the Registered Nurse and Patient Service Representative (PSR) to support efficient clinic operations and communication between administrative and clinical staff.

  • Help coordinate staff schedules, coverage, and day-to-day administrative needs in collaboration with MCHC leadership.

  • Monitor office supplies, equipment, facility needs, and other operational resources; coordinate replenishment, maintenance, and requests as needed.

  • Assist with preparing reports, audits, and other administrative documentation as assigned.

  • Support administrative onboarding, training, and communication as needed.

  • Assist patients with billing inquiries and financial assistance applications, including required paperwork and follow-up, under the guidance of the Billing Manager.

  • Assist with addressing nonclinical patient concerns and ensure questions are directed to the appropriate staff member.

  • Communicate staff-reported missed punches, timekeeping discrepancies, and requested time clock adjustments to HR for review and processing.

  • Collaborate with the Registered Nurse to support the implementation and maintenance of site protocols, including emergency procedures and response plans.

  • Maintain confidentiality and comply with HIPAA requirements, organizational policies, and applicable healthcare regulations.

  • Communicate site needs, operational updates, and concerns to MCHC leadership in a timely manner.

  • Perform other administrative and operational duties as assigned.

Qualifications

  • Ability to coordinate multiple priorities, work independently, and follow through on responsibilities with minimal supervision.
  • Demonstrated ability to identify operational challenges, coordinate solutions, and improve administrative processes.
  • Proficiency with computers and standard office software; experience with electronic health records preferred.
  • Ability to collaborate effectively with clinical staff, administrative personnel, and organizational leadership.
  • Commitment to patient confidentiality, professionalism, and quality service.

Preferred Qualifications

  • Experience in an outpatient clinic, community health center, or Federally Qualified Health Center (FQHC) setting.
  • Familiarity with medical office workflows, healthcare compliance, and electronic health record systems, particularly Epic.
  • Experience coordinating schedules, office resources, administrative processes, or day-to-day operations.
  • Ability to communicate in additional languages.
