About Legal Prep
Legal Prep Charter Academy is a free, open-enrollment public charter school with a unique law-themed, college-preparatory model designed to prepare students from traditionally underserved communities for success in college, careers, and civic leadership. Founded in Chicago in 2012, Legal Prep integrates rigorous academics with real-world professional experiences, including law courses at every grade level and monthly skills-based programming with law firms, judges, corporate legal departments, and other community partners. The school pairs high academic expectations with trauma-informed, restorative practices and strong social-emotional supports.
Legal Prep’s Indianapolis campus opened in Fall 2026 serving students in 6th and 9th grades and will grow into a full 6–12 school. Building strong relationships with Indianapolis families and communities is essential to the school’s continued growth and success.
Position Overview
Legal Prep is seeking an organized, dependable, and service-oriented Office Manager to oversee the daily operations of the school's main office. The Office Manager will be one of the first people students, families, staff, visitors, and community members encounter at Legal Prep and will play an important role in ensuring that the school operates professionally and efficiently.
Working closely with the Director of Operations and Principal, the Office Manager will manage front-office operations, student registration and records, attendance-related processes, family communications, student transportation coordination, visitor management, and a variety of administrative functions. The successful candidate will combine excellent customer service with strong organization, attention to detail, discretion, and follow-through.
Because Legal Prep is a small school, this position requires someone who embraces being part of a team and is willing to step outside of traditional office-management responsibilities when needed to support students, families, colleagues, and the successful operation of the school.
Responsibilities
Front Office Management
- Manage the day-to-day operation of the school's main office.
- Serve as the primary receptionist for students, families, visitors, vendors, and community partners.
- Answer and route incoming phone calls, emails, and inquiries promptly and professionally.
- Maintain a welcoming, professional, organized, and student-friendly front-office environment.
- Manage visitor check-in and other school access procedures.
- Receive and distribute mail, packages, deliveries, and school communications.
- Maintain office supplies and coordinate ordering as needed.
- Help ensure that front-office procedures are consistently followed.
Student Registration & Records
- Coordinate student registration and ensure required documentation is collected and maintained.
- Maintain accurate student cumulative files and electronic records.
- Process requests for student records, transfers, enrollment verification, and other documentation.
- Request records from prior schools and ensure incoming student files are complete.
- Maintain student information with a high degree of accuracy and confidentiality.
- Assist with student withdrawals and other changes to student enrollment status.
- Support compliance with school policies and applicable requirements governing student records.
Attendance & Student Support
- Support daily student attendance processes and maintain accurate attendance information.
- Follow up with families regarding absences, tardiness, early dismissal, and other attendance matters as directed.
- Manage student late arrivals and early dismissals.
- Assist students who report to the main office for routine needs.
- Coordinate with school leadership and staff regarding student attendance and other day-to-day issues.
Transportation Coordination
- Serve as the school's primary day-to-day point of contact with Legal Prep's student transportation provider.
- Coordinate with the transportation company regarding routes, schedules, student ridership, and changes affecting students and families.
- Monitor transportation operations during student arrival and dismissal and respond promptly when issues arise.
- Maintain real-time communication with the transportation provider and affected families regarding late buses, route disruptions, missed stops, student concerns, or other transportation issues.
- Help families troubleshoot transportation questions and concerns and escalate significant or recurring issues to the Director of Operations.
- Maintain accurate transportation rosters, family contact information, and other records needed to support safe and efficient student transportation.
- Communicate route or transportation changes clearly and promptly to students, families, staff, and the transportation provider.
- Track recurring transportation problems and work with the Director of Operations and transportation provider to identify and implement solutions.
Family Service & Communication
- Serve as a primary point of contact for families seeking information or assistance.
- Help families navigate school procedures and connect them with the appropriate staff member when additional support is needed.
- Communicate with families by phone, email, text, and in person.
- Assist with schoolwide family communications, reminders, forms, and notices.
- Support registration, orientation, parent meetings, conferences, and other family events.
- Build positive, trusting relationships with Legal Prep families while maintaining appropriate confidentiality and professionalism.
Administrative & Operational Support
- Provide administrative support to the Director of Operations, Principal, and other school leaders.
- Assist with scheduling, copying, filing, data entry, correspondence, and preparation of school documents.
- Maintain organized electronic and physical files.
- Assist with school purchasing, invoices, receipts, and other administrative documentation as directed.
- Support logistics for meetings, professional development, testing, school events, and special programs.
- Maintain calendars, forms, rosters, contact lists, and other administrative resources as needed.
- Assist with coordination among school staff, families, vendors, and outside partners.
Additional Schoolwide Responsibilities
Legal Prep is a small, growing school, and every staff member plays a role in helping the school operate successfully. The Office Manager will be expected to assist with other school needs and priorities when necessary.
These responsibilities may include supporting student arrival and dismissal, supervising students, assisting with lunch or hallway coverage, helping with school and family events, supporting student recruitment or enrollment activities when needed, and completing special projects or other reasonable duties assigned by school leadership.
Legal Prep is seeking a team member who understands that working at a small, entrepreneurial school requires flexibility, initiative, and a willingness to step in wherever needed to support students, families, colleagues, and the broader school community.
Qualifications
- High school diploma required; Associate's or Bachelor's degree preferred.

- Ability to exercise sound judgment, maintain confidentiality, and appropriately handle sensitive student and family information.
- Ability to work independently while collaborating effectively as part of a small team.

- Spanish language fluency or conversational proficiency is strongly preferred.
