About Mammoth Fieldhouse
Mammoth Fieldhouse OKC is a competitive social venue where sport, food, and community share one roof. Pure Putt. Arc Rivals. Battle Bats. Wiffle Ball. A self-pour beer wall, a scratch kitchen, and a full bar built to stand on their own. Open play, leagues, tournaments, and private events, all night, every night.
Oklahoma City is a big-league sports town with no shortage of places to spend a night out. Athletes here have options, which means the standard has to hold on a slow Wednesday and a sold-out Saturday alike.
About the Role
You are the operating system behind the building.
The Office Manager keeps the administrative side of a large, fast venue accurate and on time: payroll, onboarding, records, cash controls, vendor accounts, and the paperwork that has to be right the first time.
This role touches every teammate in the building. You are the first administrative face a new hire meets and the person who makes sure their first paycheck is correct.
Discretion matters here. You will handle sensitive personnel and financial information every day.
What You'll Own
Payroll and People Administration
- Prepare and process payroll accurately and on schedule, including tip reporting and punch corrections.
- Own onboarding administration: offer paperwork, I-9 verification, tax forms, and system setup.
- Maintain personnel files, certifications, and compliance documentation.
- Support benefits administration and serve as the first point of contact for teammate questions.
- Track required certifications and prompt renewals before they lapse.
Financial Administration
- Own daily cash handling procedures, deposits, and safe reconciliation.
- Process accounts payable, code invoices, and maintain vendor account records.
- Reconcile POS reporting to deposits and escalate variances.
- Maintain licenses, permits, insurance certificates, and renewal calendars.
Office Operations
- Manage office supply, equipment, and administrative vendor relationships.
- Support the Director of Operations with scheduling, reporting, and correspondence.
- Maintain organized records that survive an audit without a scramble.
What Success Looks Like
- First 90 Days: Payroll runs clean, onboarding is documented, and every license and certificate is tracked with a renewal date.
- First Year: Nothing administrative has ever been the reason something went wrong.
Qualifications
- 3 or more years in office management, bookkeeping, payroll, or HR administration.
- Payroll processing experience and comfort with payroll and HRIS platforms.
- Accuracy under deadline. This role has hard dates that do not move.
- Discretion with confidential personnel and financial information.
- Strong command of spreadsheets and standard office software.
Preferred
- Restaurant, hospitality, or multi-unit administrative experience.
- Experience with tipped wage reporting and hospitality payroll rules.
- Bookkeeping or accounting coursework.
- New location opening experience.
Working Conditions
- Primarily office based within an active entertainment venue.
- Regular computer operation and extended periods of sitting.
- Must be able to lift up to 25 pounds.
- Facility has intermittent noise. Some evening and weekend availability during peak periods and events.
