What they need
Office Manager
Real Good Fish | Moss Landing, CA
Full-time | $65,000–$70,000/year
About Real Good Fish:
Real Good Fish, headquartered on Monterey Bay, CA, was founded in 2012 to provide sustainable seafood direct from fishermen to individuals, families, and institutions. We are a social impact business with the goals of preserving our natural resources and fishing communities, while inspiring our community to be the stewards of our ocean. In 2014, we pioneered the Bay2Tray program which provides underutilized species from local fisheries to public schools for school lunches. That program has since grown in the Mid-Atlantic region and includes key partners like the USDA, Virginia Department of Education and the Maryland Department of Agriculture. In 2016, our progress was recognized by the Obama Administration as a “White House Champion of Change” for Sustainable Seafood.
The Role
We're looking for an experienced Office Manager to become the administrative backbone of Real Good Fish. This is a hands-on role for someone who loves making things work: keeping information organized, staying ahead of deadlines, maintaining accurate records, following up when something doesn't look right, and making sure important tasks don't fall through the cracks.
You'll work across finance, inventory, purchasing, people administration, grants, and general business operations. You don't need to be an expert in all of these areas. We're looking for someone who is highly organized, comfortable with numbers and technology, eager to learn, and capable of taking ownership of recurring processes from beginning to end.
You do not need seafood experience or to be an accountant or bookkeeper.
What You'll Own:
Office & Business Administration
- Keep recurring administrative processes, records, calendars, and deadlines organized and current.
- Maintain employee and vendor records and other important business documentation.
- Coordinate routine employee administration, including onboarding, payroll setup, PTO records, and required paperwork.
- Liaise with our HR legal council on establishment and maintenance of employee records, on a timely and accurate basis.
- Track permits, insurance, subscriptions, vendor documentation, and recurring compliance requirements.
- Manage office supplies, equipment, mail, records, and other day-to-day administrative needs.
- Build and maintain simple systems, checklists, and processes that make recurring work more reliable.
Financial Administration
Working with our bookkeeper/accounting support, you will:
- Enter and maintain bills, invoices, payments, and supporting documentation. Ensure they are on available and on schedule.
- Submit payroll and maintain accurate payroll information.
- Track accounts payable and receivable and follow up on outstanding items.
- Be the point person for vendors regarding accounting related requests. Investigate routine discrepancies and gather the information needed for resolution.
- Support month-end bookkeeping and reconciliation by ensuring records and documentation are complete.
Inventory & Purchasing Administration
- Maintain accurate inventory, purchasing, receiving, product, and vendor records.
- Prepare and track purchase orders and match receiving documentation with invoices.
- Keep inventory records current and help identify discrepancies between physical inventory, purchasing, and business systems.
- Maintain product, SKU, vendor, packaging, and pricing information.
- Coordinate recurring supply purchases and follow up with vendors as needed.
- Escalate inventory or purchasing discrepancies to the appropriate team member.
Grants & Administrative Support
- Maintain organized grant expense records and supporting documentation.
- Track reporting, reimbursement, and documentation deadlines.
- Gather and organize information needed for grant reports and reimbursement requests.
- Maintain audit-ready files using established systems and processes.
You are not expected to arrive as a grant expert . We will provide the systems, templates, and guidance necessary to manage this work successfully.
Who We're Looking For
The right person may currently be an Office Manager, Administrative Manager, Business Administrator, Executive Assistant, Operations Coordinator, or similar. More important than your current title is how you work.
You're someone who:
- Takes ownership and follows things through to completion.
- Is exceptionally organized and detail oriented.
- Is comfortable working with numbers, spreadsheets, and business software.
- Learns new systems quickly and isn't intimidated by unfamiliar tasks.
- Notices when information doesn't make sense and investigates rather than ignoring it.
- Can manage many recurring responsibilities without needing constant reminders.
- Communicates clearly and works well with different personalities and functions.
- Looks for ways to make recurring work simpler and more reliable.
- Is comfortable working in a small, entrepreneurial company where everyone occasionally wears multiple hats.
Experience with payroll, AP/AR, QuickBooks, inventory, purchasing, HR administration, grants, food, agriculture, manufacturing, or distribution is helpful, but we don't expect one candidate to have experience in all of these areas.
What Success Looks Like
Within six months:
- Administrative responsibilities are handled reliably and on time.
- Payroll, invoices, bills, purchasing, and supporting records are entered accurately and consistently.
- Inventory and purchasing records are substantially more dependable.
- Our bookkeeper receives complete, organized information and spends less time chasing documentation or correcting administrative errors.
- Grant and compliance documentation is current and easy to retrieve.
- Important deadlines don't surprise us.
- Leadership spends substantially less time chasing administrative details.
- The company feels more organized, predictable, and under control because you're here.
