What they need
Office Manager
Hawksmoor Construction
Kings Langley, Hertfordshire
Full-time | Office-based
Salary: £40,000–£45,000 per annum, dependent on experience and capability
Hawksmoor Construction is a growing and ambitious construction business delivering high-quality projects across London and the South East.
We are looking for an exceptional Office Manager to take ownership of the day-to-day running of our office and provide high-level organisational and administrative support across the business.
This is not a passive administrative role.
We need someone who is highly organised, naturally proactive, fast-moving, comfortable with change and able to take responsibility for tasks from instruction through to completion.
The right person will thrive in a busy environment where priorities can change quickly, several deadlines may be running at once and the expectation is that tasks are followed through properly, accurately and on time.
The Role
You will sit at the centre of the business, helping ensure the office, leadership team and wider company operate efficiently.
Your responsibilities will include:
- Managing the day-to-day running of the office
- Supporting the Managing Director and senior leadership team
- Managing diaries, meetings, appointments and key deadlines
- Preparing professional PowerPoint presentations, reports and internal documents
- Coordinating leadership and departmental meetings
- Preparing agendas, recording actions and ensuring agreed actions are followed through
- Managing company administration and maintaining organised systems and records
- Coordinating HR administration including onboarding, employee records and documentation
- Managing the company fleet of vehicles
- Managing the insurances across the business
- Supporting recruitment and new starter processes
- Managing company events, meetings and internal communications
- Liaising with employees, clients, consultants, suppliers and external partners
- Monitoring outstanding tasks and proactively chasing actions to completion
- Supporting business improvement initiatives and the implementation of new systems
- Identifying administrative problems before they become issues
- Taking ownership of tasks rather than waiting to be repeatedly instructed
- Supporting the wider leadership team wherever required
The Person We Are Looking For
The successful candidate will be someone who gets genuine satisfaction from creating order, solving problems and getting things completed.
You will need to be:
- Extremely organised
- Fast and decisive
- Highly proactive
- Excellent at prioritising
- Comfortable with changing priorities
- Strong under pressure
- Exceptional at attention to detail
- Confident working independently
- Persistent in following tasks through to completion
- Comfortable holding other people accountable for actions
- Professional and confident when communicating with senior people
- Technically confident with modern office software
- Comfortable making sensible decisions using your own judgement
- Able to identify what is important without needing every detail explained
- Naturally solutions-focused
- Comfortable working in a fast-paced SME environment
We are specifically looking for someone who can receive a task, understand what needs to happen and take ownership of it until it is complete.
You should be comfortable when the plan changes, when something urgent lands unexpectedly or when several priorities need to be managed simultaneously.
AI & Technology
Hawksmoor Construction is actively adopting and building AI systems and technology across the business.
We are looking for an Office Manager who is genuinely comfortable operating in an AI-enabled environment and who understands how modern AI tools can improve the speed, quality and efficiency of their work.
You should already be confident using tools such as:
- ChatGPT
- Claude
- Microsoft Copilot
- Gemini
- Microsoft 365
- Outlook
- Word
- Excel
- PowerPoint
- Teams
We are not looking for someone who simply says they have used AI.
We want someone who can demonstrate how they already use AI practically and intelligently in their working day.
This may include:
- Drafting and improving professional correspondence
- Producing first drafts of reports and presentations
- Summarising meetings and extracting actions
- Researching and consolidating information
- Creating templates, procedures and standard operating processes
- Improving spreadsheets and business reporting
- Organising and analysing information
- Automating repetitive administrative tasks
- Improving workflows
- Identifying opportunities to make the business more efficient
- Using AI to improve the quality and speed of day-to-day administration
You do not need to be a developer or technical specialist.
However, you should be naturally curious about technology and willing to embrace new systems as Hawksmoor continues to develop its use of AI across the business.
You must also understand the importance of confidentiality, accuracy and professional judgement when using AI tools.
AI should improve your work, not replace your responsibility for checking it.
Essential Experience
You should have strong experience in an Office Manager, Executive Assistant, Operations Coordinator, Senior Administrator or similar role.
You must be highly competent in:
- Microsoft Outlook
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Teams
- Diary and meeting management
- Professional document preparation
- Business administration
- Managing competing priorities
Excellent written English and presentation skills are essential.
Experience within construction, property, professional services or another fast-paced SME would be advantageous, although it is not essential.
What Success Looks Like
Success in this role means:
- Deadlines do not get missed
- Actions do not disappear
- Tasks are followed through without repeated chasing
- Meetings are properly organised
- Documents leave the business professionally presented and error-free
- Presentations are accurate and polished
- The leadership team knows important actions are being followed up
- Problems are dealt with quickly
- The office operates in an organised and professional manner
- Information is easy to find
- Systems are kept up to date
- You are regularly one step ahead of what needs to happen next
We are not looking for someone who needs a completely predictable working day.
We are looking for someone who can bring structure, pace and accountability to a fast-moving business.
