What they need
Based in Goring-on-Thames, Murray McIntosh is a specialist recruitment consultancy. We work with organisations in niche, regulated and technically demanding markets, supporting permanent and contract recruitment at executive and mid-management levels.
We are an ambitious, collaborative business that values high standards, genuine relationships and people who take ownership. We give our team the trust and support they need to contribute ideas, develop their skills and make a meaningful impact.
The opportunity
We are looking for an organised and proactive Office Administrator/ Manager to help keep our office and wider business running smoothly.
This is a varied role at the heart of the company. You will take ownership of day-to-day office administration while supporting contractor operations, employee onboarding, IT coordination, supplier management, internal communications and wider business activity. There is also the option to receive training in basic finance and accounting administration, although this is not compulsory.
The role would suit someone who enjoys variety, takes pride in keeping things organised and is comfortable working across changing priorities. Previous experience in a similar role is important and a background in a professional services environment would be helpful, but is not essential.
Key responsibilities
Office administration and coordination
Act as a first point of contact for general office administration queries and day-to-day operational requirements.
Manage day-to-day relationships with third-party suppliers, including cleaners, office services, IT providers and job boards.
Recruitment and contractor administration
Coordinate timesheet administration and manager user queries.
Support contractor onboarding and offboarding administration and help track outstanding information or approvals.
Maintain accurate records, trackers and spreadsheets.
Onboarding, systems and IT support
Coordinate onboarding and offboarding administration for employees, including equipment and systems access, maintaining operational process documents.
Assist with internal communications, company incentives, team socials and staff events.
Provide administrative support for approved marketing and social media activity.
Act as the day-to-day liaison with the external IT support provider and escalate technical issues appropriately.
Optional finance development
This could include maintaining records, updating spreadsheets, tracking outstanding information and supporting routine reporting or credit-control activity.
Finance responsibilities will be shaped around the successful candidate's skills and interests.
For candidates who are interested, training can be provided in basic finance and accounting administration.
About you
Previous office administration, office coordination or similar experience.
Highly organised, with excellent administration skills and close attention to detail.
Proactive, practical and comfortable taking ownership of tasks through to completion.
Strong level of IT proficiency, comfortable using Microsoft 365 and able to learn new systems.
Able to handle sensitive information with discretion and sound judgement.
Flexible and willing to support different areas of the business when needed.
Experience in recruitment, sales, professional services, finance administration or bookkeeping would be advantageous but is not required.
What we offer
£26,000-£35,000 FTE, depending on experience, paid pro rata for part-time hours.
A permanent role with a working pattern of 25-37.5 hours per week. Flexible working hours agreed with the successful candidate.
A varied role with scope to shape responsibilities as the business grows.
Training across relevant internal systems, recruitment operations and, if desired, basic finance administration.
Private health insurance.
30 days' annual leave, applied pro rata for part-time hours.
Regular team socials, plus summer and Christmas celebrations.
A supportive, collaborative environment where ideas and initiative are welcomed.
