Office Manager
Atkin Grant & Lang (AGL) Shooting Ground – Markyate, Hertfordshire
Salary: £32,000–£36,000 per annum, depending on experience
Hours: 40 hours per week
Working pattern: Normally Monday to Friday, with a minimum of one weekend in every four weeks
Reports to: Managing Director
Location: Markyate, Hertfordshire
About the Role
Atkin Grant & Lang (AGL) is looking for a highly organised, proactive and numerate Office Manager to join our friendly team at our established shooting ground near Markyate, Hertfordshire.
This is a varied and important role, combining financial administration, bookkeeping, staff administration, customer service and general office management. You will play a key part in ensuring the smooth running of our business, maintaining accurate financial records, improving administrative processes and supporting the Managing Director with the day-to-day management of the operation.
We are looking for someone who takes pride in accuracy, enjoys taking ownership of their responsibilities and can identify opportunities to improve systems and procedures. The successful candidate will be comfortable working independently, managing competing priorities and communicating confidently with colleagues, customers and suppliers.
Previous experience in office management, bookkeeping or financial administration would be an advantage, as would experience with cloud-based accounting systems and EPOS platforms.
Key Responsibilities1. Financial Administration & Bookkeeping
- Maintain accurate financial records and bookkeeping using Xero, EPOS Now and Stripe payment systems.
- Oversee the integration and effective use of Xero across these platforms, helping to ensure accurate and consistent financial reporting.
- Prepare cash flow reports to support business planning and management decisions.
- Prepare and submit VAT returns, ensuring deadlines are met and supporting records are maintained accurately.
- Maintain accurate cash records, including banking takings and obtaining change when required.
- Manage outgoing invoices and monitor customer accounts.
- Proactively chase outstanding debts and maintain appropriate records of communications and payments.
- Maintain accurate digital records and supporting paperwork using an organised online filing system.
- Purchasing & Stock Administration
- Introduce and manage a formal purchase order system.
- Oversee procedures for ordering, receiving, booking in and issuing goods.
- Ensure purchasing and stock records are accurate and consistently maintained.
- Help ensure reliable information is available for monthly management reports.
- Monitor compliance with purchasing procedures and identify opportunities to improve efficiency and accountability.
- Staff Administration
- Maintain accurate records of staff holidays, sickness and other absences using the BrightHR app.
- Provide timely and accurate information to payroll.
- Support the Managing Director with meeting preparation, note-taking and the production of meeting minutes.
- Assist with general staff administration and the maintenance of appropriate records.
- Membership & Customer Administration
- Maintain accurate and up-to-date membership records across relevant systems and platforms.
- Manage membership renewal reminders and related correspondence.
- Provide telephone support for overflow enquiries and take responsibility for answering incoming calls on Mondays when required.
- Deliver a professional, helpful and welcoming service to customers and members.
- Assist with customer-facing duties during weekend working and when operational requirements demand it.
- General Office Management
- Take ownership of the day-to-day administration of the business.
- Maintain organised digital filing systems and accurate records.
- Review existing processes and implement practical improvements to efficiency, accuracy and reporting.
- Work closely with the Managing Director and wider team to support the effective running of AGL.
- Develop a good understanding of the wider operation to provide flexible support during periods of staff absence.
Working Pattern & Weekend Requirements
The contracted working week is 40 hours, normally Monday to Friday. However, flexibility is required, with a minimum of one weekend worked in every four weeks.
Weekend hours are included within the contracted 40-hour working week and are not additional hours.
Although the primary focus of the role is office management and administration, weekend duties may include working in a customer-facing capacity and supporting the day-to-day operation of the shooting ground.
This cross-functional approach helps the successful candidate develop a broader understanding of the business, build relationships with customers and colleagues, and provide valuable operational support during periods of staff absence.
Candidates should therefore be comfortable undertaking a combination of administrative and customer-facing duties when required.
What We’re Looking For
The ideal candidate will have:
- Experience in office management, administration, bookkeeping or a similar role.
- Strong numerical skills and excellent attention to detail.
- Confidence working with accounting software, spreadsheets and digital systems.
- The ability to maintain accurate financial, staff and membership records.
- Excellent organisational skills and the ability to prioritise a varied workload.
- A methodical, reliable and proactive approach to work.
- Good written and verbal communication skills.
- The confidence to work independently, take ownership and suggest improvements.
- A professional and approachable manner when dealing with customers, colleagues and suppliers.
- A flexible attitude and willingness to support the wider operation when required.
Experience with Xero, EPOS Now, Stripe and BrightHR would be beneficial. Familiarity with VAT returns, cash flow reporting, purchase orders and credit control would also be an advantage.
What We Offer
At AGL, we believe in creating a supportive workplace where people can develop, contribute and feel valued.
Our benefits include:
- Competitive salary of £32,000–£36,000 per annum, depending on experience.
