What they need

Plan London Ltd is a well-established, friendly team of measurement surveyors based in vibrant Forest Hill, just a short walk from the Overground station. We specialise in providing Measured Surveys, Land Registry compliant plans, and 3D laser scanning services to property owners and the industry. We're a small, close-knit company — which means the people who join us have a real say in how things run, not just a job description to follow.

The Role

We're looking for an experienced Office Manager/Administrator to take genuine ownership of the day-to-day running of the business. This is a pivotal hire for us. You’ll work alongside the Directors and our surveying team to keep the business running smoothly and help it grow.

This isn't a role where you'll simply be supporting the Directors — you'll be making decisions, owning processes, and managing client relationships with real autonomy. If you want a role with genuine responsibility rather than a fixed list of duties, we'd love to hear from you.

Key Responsibilities

  • Own the day-to-day running of the office and business administration, with minimal oversight.
  • Manage incoming enquiries and quotes from first contact through to booking in, chasing where needed.
  • Coordinate project scheduling across the surveying team, working closely with our surveying team.
  • Act as the primary point of contact for clients, suppliers, and staff.
  • Oversee office systems, IT, and phone networks to keep operations running smoothly.
  • Keep company policies and procedures up to date and compliant with UK regulations.
  • Manage attendance, holiday records, and day-to-day HR administration.
  • Improve how we work — processes, tools, and client experience — with real authority to make changes.
  • Support marketing and client communications, working alongside the Directors on growth.
  • Serve as the designated First Aider and Fire Marshal for the office (training provided).

What you'll bring

  • Proven experience in an office management or senior administration role.
  • Confidence to make decisions and own outcomes, not just follow instructions.
  • Excellent verbal and written communication skills.
  • Strong organisational and time-management abilities, able to juggle competing priorities.
  • Good commercial awareness, professionalism, and discretion.
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel).

Nice to have (not essential)

  • Previous experience in the property, surveying, or construction industry.
  • Familiarity with QuickBooks, Xero, or similar accounting software.
  • Experience managing or coordinating a small team.
  • A tech-savvy mindset and a proactive approach to process improvement.

What we offer

  • 35-hour week (Monday to Friday) working from our office. No hybrid working offered currently.
  • Competitive salary (£27,000 per annum, negotiable depending on experience).
  • 31 days holiday (including bank holidays).
  • Office closure over Christmas (taken as part of holiday entitlement).
  • Pension scheme & sick pay.
  • Eyecare vouchers.
  • Casual dress code and a friendly, collaborative working environment.
  • Genuine autonomy — this role is designed to carry real responsibility, with the Directors' trust and backing from day one.

Please note: We reserve the right to close this vacancy early if we receive sufficient applications for the role or make a job offer to a suitable candidate.
