About the Opportunity

Focus People is recruiting an experienced Office Operations Coordinator for an established professional services firm in Alpharetta, GA.

This is a key administrative and operations position for someone who takes ownership, notices details others miss, and follows responsibilities through to completion without needing constant direction.

The person selected will be trained by a longtime employee who has spent more than a decade managing and developing many of the company's administrative processes. The goal is to find someone who can learn those processes, take ownership of them, and become a trusted operational resource for the leadership team.

This is not primarily an Executive Assistant, marketing, sales, or customer-service role . It is best suited for a seasoned administrative or operations professional who enjoys managing a variety of responsibilities and being the person others can count on to keep things organized and moving.

Key Responsibilities

Accounts Receivable & Financial Administration

  • Monitor outstanding invoices and follow up on payments
  • Track incoming client payments, including checks and electronic payments
  • Process physical checks and coordinate bank deposits
  • Match payments and deposit documentation to invoices
  • Maintain accurate invoice and client contact records
  • Assist with QuickBooks-related invoicing and payment workflows
  • Research discrepancies and follow outstanding items through resolution
  • Review vendor invoices and coordinate financial documentation

Licensing & Compliance

  • Track professional licenses across multiple states
  • Monitor renewal dates, continuing education requirements, and recurring deadlines
  • Coordinate applications, renewals, temporary permits, payments, and supporting documentation
  • Update licenses and credentials within client/vendor portals
  • Assist with client and bank applications, W-9s, insurance documents, and related requirements
  • Maintain accurate tracking spreadsheets and reminders

Prior professional licensing experience is helpful but not required. Experience managing renewals, certifications, permits, insurance documentation, contracts, or other compliance deadlines is highly transferable.

Office Operations

  • Manage mail, FedEx, deliveries, supplies, vendors, and physical files
  • Maintain organized electronic and hard-copy records
  • Handle incoming client inquiries and gather or route information appropriately
  • Maintain recurring administrative checklists and deadlines
  • Support management with reminders and operational follow-through
  • Coordinate miscellaneous office needs and resolve issues as they arise
  • Learn existing processes before identifying practical opportunities for improvement

HR & Employee Administration

  • Coordinate onboarding and offboarding documentation
  • Assist with benefits enrollment and employee paperwork
  • Support administrative functions within ADP
  • Coordinate required 401(k) notices and documentation
  • Work with outside benefits, insurance, and professional-service providers
  • Maintain confidential employee information

Special Projects

  • Prepare and maintain Excel reports and trackers
  • Assist with insurance and audit documentation
  • Support client/vendor applications and annual reporting projects
  • Prepare, organize, and redact PDF documents as needed
  • Maintain process documentation
  • Support adoption of technology and AI productivity tools where appropriate

What We're Looking For

The ideal candidate has a strong background in administration, office operations, accounting support, or another detail-intensive professional environment .

Successful candidates will demonstrate:

  • Strong attention to detail and follow-through
  • A high level of ownership and personal accountability
  • Ability to manage multiple recurring deadlines without constant reminders
  • Strong organizational and problem-solving skills
  • Professional written and verbal communication
  • Sound judgment when handling confidential financial and employee information
  • Comfort working independently without extensive supervision
  • Ability to manage up and professionally follow up with busy leaders
  • Willingness to wear multiple hats in a small-company environment
  • Genuine interest in becoming a trusted, long-term member of the organization

Technology Skills

Candidates should have practical, hands-on experience with:

  • Microsoft Excel on Windows
  • Microsoft Word on Windows
  • Email and calendar applications
  • Google Sheets and Google Drive or similar collaboration tools

Intermediate Excel proficiency is sufficient. Candidates should be comfortable working accurately within existing spreadsheets, using basic formulas and functions, and maintaining data without disrupting established systems.

Experience with QuickBooks, ADP, DocuSign, Adobe Acrobat, client portals, or AI productivity tools is a plus.

Preferred Backgrounds

Experience in any of the following environments may translate particularly well:

  • Professional services
  • Commercial or residential real estate
  • Appraisal, mortgage, title, or property administration
  • Accounting or CPA firms
  • Financial services or banking
  • Insurance or compliance
  • Legal services
  • Construction or property-related businesses
  • Small or midsize business operations

Direct appraisal industry experience is a plus but not required .

Work Environment

The broader organization operates largely remotely, making this local office position an important part of day-to-day operations.

The successful candidate will initially work onsite in Alpharetta during training . Once fully trained and established in the position, hybrid flexibility may become available based on performance, trust, responsibilities, and business needs.

Because this position handles physical mail, checks, deposits, documents, vendors, and other onsite responsibilities, flexibility to come into the office when needed is important.

The office can be quiet, and candidates should be comfortable working independently for extended periods without constant interaction or supervision.

Compensation & Benefits

Salary: $50,000–$70,000 annually, based on experience and overall fit.

Benefits include:

  • 401(k) with 100% company match up to 4%
  • 401(k) eligibility after approximately three months
  • Six-year graded vesting on employer contributions
  • Group health insurance with the company paying 50% of the employee premium
  • Full dental coverage
  • 12 days PTO
  • Paid holidays

Who Will Thrive Here

The right person doesn't wait for someone to hand them a list every morning.

They remember the deadline. They follow up on the unpaid invoice. They catch the discrepancy. They make sure the license gets renewed. They keep accurate records. And when something unfamiliar lands on their desk, they ask the right questions and figure out how to get it done.

If you take pride in being the person others trust to keep the details organized and make sure things actually get finished , we would like to hear from you.

Focus People is an Equal Opportunity Employer. All qualified applicants will receive consideration for employment without regard to any characteristic protected by applicable federal, state, or local law.

Other offers great for you!
