What they need

Office Services Team Leader

We are looking to welcome an Office Services Team Leader into our Operations team. The Office Services Team Leader will be responsible for the smooth and efficient day-to-day operation of all Phillips Law office locations. The role acts as the primary point of contact for non-strategic office services, facilities management, front-of-house operations, events management, and archiving & deeds management.

The postholder will lead and support front-of-house teams across all locations, ensure facilities are maintained to a high standard, manage office-related issues and service requests, establish and maintain day to day relationships with operational service providers, and coordinate the delivery of internal and external business events.

About Phillips Law

Phillips Law was formed in 1986, and since then we have been committed to building the region’s strongest, dynamic, full-service law firm built on foundations of traditional values.

In 2026, we continue to be featured in the Legal 500 – a globally recognised legal directory that serves as a comprehensive guide for clients seeking premium legal services.

At Phillips Law our values mean we pull in the same direction, tell it like it is, do the right thing, break the mould, and deliver on our goals.

What you’ll be doing

  • Oversee the day-to-day operation of all Phillips Law offices, acting as the first point of contact for office-related issues and directing them to the appropriate people for resolution.
  • Coordinate responses to operational issues and follow them through to timely completion. Monitor service standards across locations, identify areas for improvement and carry out regular site visits to support consistent service delivery.
  • Ensure office environments are safe, professional, well-maintained and fit for purpose, including monitoring housekeeping and effective use of workspace.
  • Lead and support front-of-house teams across all offices, promoting a welcoming, professional and client-focused service.
  • Manage front-of-house performance, attendance, training and development, and make sure services are appropriately resourced with suitable cover arrangements in place.
  • Coordinate facilities requests, maintenance and repairs with landlords, contractors and service providers. Support office moves, workspace reconfigurations and equipment installations as required.
  • Plan, coordinate and deliver internal and external events at Phillips Law offices and external venues. These may include client, networking, employee engagement, training, charity and community events.
  • Work with colleagues across the business to organise event logistics, including venues, catering, equipment, suppliers, attendees and communications. Manage supplier relationships and support good service and value for money.
  • Coordinate Office Services team support for event preparation, set-up, delivery and breakdown, while maintaining appropriate staffing and operational cover across the offices.
  • Provide operational support for events that take place occasionally outside normal working hours, including evenings and weekends. Approved additional hours will be compensated through overtime or TOIL in line with company policy.
  • Oversee archive and deeds management processes, liaising with internal colleagues and external storage providers, monitoring service performance and resolving escalated issues.
  • Support the firm’s wider records management and storage arrangements, identifying opportunities to improve archive and deeds services.
  • Support health and safety procedures and compliance across all locations by coordinating routine inspections and audits, following up corrective actions and keeping accurate records.
  • Manage day-to-day operational relationships with key service providers, including Moneypenny, Elmdale, facilities and maintenance contractors, archive providers and other office suppliers. Monitor service delivery, resolve operational issues and escalate strategic concerns to the Operations Manager.
  • Identify opportunities to improve the efficiency and quality of office services, develop and maintain standard operating procedures, and provide the Operations Manager with updates on performance and key issues.
  • Support wider business initiatives and projects as required.

To be successful for this position, you must have / be:

  • Experience in office, facilities or workplace management, including team leadership, supplier management and coordinating reception or administrative services.
  • Experience planning and delivering workplace or business events, managing stakeholders and suppliers.
  • Strong communication, people management, customer service, organisation and problem-solving skills.
  • Able to prioritise competing demands and build effective relationships at all levels.
  • Confident using Microsoft 365 and office management systems.
  • Full UK driving licence, access to a vehicle and willingness to travel between offices and venues.
  • Flexibility to work occasional evenings and weekends.
  • Experience in a legal or professional services environment, or managing multi-site operations. (Desirable)
  • Experience delivering events across multiple locations or for employees, clients or the community. (Desirable)
  • Knowledge of archive management and deeds handling. (Desirable)
  • A Health and Safety qualification or facilities management certification. (Desirable)
