• Review indents against stock levels and consumption patterns.
• Prepare RFQs/tenders with technical inputs from user departments to invite competitive quotations from approved vendors against accurate requirements.
• Evaluate quotations, prepare Comparative Statements, and issue POs, WOs, and contracts through the approval matrix.
• Develop and enlist new vendors to secure cost-effective, compliant supply and a strong vendor base.
• Collect Proforma Invoices from overseas suppliers, verify them against the checklist with correct HS Codes, and forward them to the Commercial team to ensure accurate, compliant LC applications.
• Open and process LCs through the banking channel (bank and insurance details, supplier-confirmed draft, insurance cover note, acknowledgment copy to the beneficiary bank) to meet LC timelines and ensure supplier readiness for shipment.
• Track shipment status and pipeline materials, review copy documents and coordinate corrections, and collect original or endorsed documents from the bank to ensure timely delivery and smooth cargo release.
• Hand over documents to the C&F agent, liaise with CCI&E, Bangladesh Bank, BIDA, BOI, and Customs, schedule port-to-factory transport, and inform the store department to complete clearance within the free storage period and comply with import regulations.
• Resolve PO/WO/contract discrepancies, and settle supplier bills and claims with Accounts to ensure timely payments under company policy and healthy supplier relationships.
• Update the LC, PO, and Indent registers and prepare procurement and commercial reports and statements to maintain accurate records and give management timely information.
