What they need

Position Purpose

The Offshore Logistics Coordinator will manage and coordinate all cargo and site-logistics activities at Al Omairah Island. The position will act as the island focal point between site teams, the mainland Logistics Team, OMC, Island Management, vessel masters, storekeepers, lifting teams, HSE personnel, subcontractors and suppliers.

The coordinator will control cargo requirements, approvals, vessel-call preparations, offloading arrangements, material receipt, storage coordination, cargo records and return shipments. Marine navigation, vessel safety, berthing control and vessel inspections will remain under the responsibility of the OMC/Berthing Master and vessel masters.

Key Responsibilities

  1. Cargo Planning and Prioritization
  • Collect confirmed cargo requirements from Site Engineering, Construction, Procurement, Plant, Stores and subcontractors.
  • Consolidate requirements into an island cargo priority list.
  • Confirm that each request includes the material description, quantity, dimensions, weight, lifting requirements, delivery location and required delivery date.
  • Identify urgent, critical, oversized, hazardous, refrigerated or special-handling cargo.
  • Communicate confirmed priorities to the mainland Logistics Team before vessel loading.
  • Prevent unapproved or unidentified cargo from being dispatched to the island.
  1. Vessel-Call and Approval Coordination
  • Prepare and submit berthing, offloading and cargo-related approval requests within the required notice periods.
  • Coordinate vessel-call requirements with the OMC/Berthing Master, Island Management, mainland Logistics Team, vessel masters and other responsible parties.
  • Confirm the approved berth, offloading area, cargo sequence, storage destination and operational restrictions before vessel arrival.
  • Maintain a forward schedule covering LCTs, barges, tugboats, crew boats and other project vessels.
  • Track pending approvals and escalate any issue that may delay sailing, berthing, offloading or vessel turnaround.
  • Ensure the required manifests, cargo lists, approvals, permits and supporting documents are available before each operation.
  1. Offloading and Site Coordination
  • Prepare an offloading plan for each vessel call in coordination with the OMC/Berthing Master and relevant site teams.
  • Arrange the required cranes, forklifts, trailers, trucks, operators, lifting supervisors, riggers, banksmen and receiving personnel.
  • Coordinate with HSE and the lifting team to confirm that approved lifting plans, lifting gear, access routes and work areas are ready.
  • Confirm that suitable storage or laydown areas have been assigned before cargo is discharged.
  • Monitor the offloading sequence and immediately report delays, shortages, damage, unsafe conditions or discrepancies.
  • Coordinate the movement of discharged cargo from the berth to its assigned storage or work location.
  • Prevent discharged materials from remaining at the berth or obstructing operational access routes.
  1. Cargo Control and Documentation
  • Maintain a complete cargo tracker covering planned, approved, loaded, in-transit, received, rejected, damaged, pending and returned cargo.
  • Check vessel manifests, delivery notes, packing lists, cargo-transfer records and material-receipt documents.
  • Reconcile the manifest against the cargo physically received on the island.
  • Record shortages, excess quantities, damage, incorrect deliveries and missing documents.
  • Obtain signed receipt records from the Island Storekeeper or authorized receiving party.
  • Maintain traceable electronic and hard-copy records for every vessel call.
  • Issue daily cargo status reports and provide supporting data for weekly and monthly logistics reports.
  • Record loading, sailing, arrival, berthing, offloading, return-loading and departure times for operational KPI monitoring.
  1. Store and Material Coordination
  • Work closely with the Island Storekeeper to ensure incoming materials are received, identified, recorded and stored correctly.
  • Confirm the actual site requirement before accepting or prioritizing cargo.
  • Track critical and outstanding materials until final receipt.
  • Coordinate the return of empty containers, waste skips, rejected materials, hired equipment, surplus materials and other backload cargo.
  • Ensure return cargo is documented, approved, prepared and ready before the vessel's scheduled departure.
  1. Communication and Reporting
  • Act as the main island contact for logistics matters.
  • Attend daily coordination meetings and provide updates on expected vessels, cargo priorities, approvals, equipment requirements and operational constraints.
  • Issue a daily logistics report covering vessel movements, cargo received, cargo pending, discrepancies, available resources and planned activities.
  • Notify the Logistics Manager immediately of any matter that could affect project progress, vessel schedules, cargo safety or compliance.
  • Maintain clear shift-handover records when operations continue outside normal working hours.
  • Support incident investigations by providing cargo records, timelines and supporting documents when required.
  1. HSE and Compliance
  • Follow ADNOC Offshore, Island Management, SML, port, marine, lifting and project HSE requirements.
  • Verify that cargo is properly packed, marked, secured and suitable for marine transport before acceptance.
  • Stop and report any logistics activity involving unsafe handling, inadequate lifting arrangements, damaged packaging, missing certification or unauthorized cargo.
  • Coordinate with HSE personnel before handling hazardous materials, fuel, chemicals, refrigerated cargo, oversized loads or other special cargo.
  • Participate in toolbox talks, risk assessments and logistics-related inspections as required.

Required Qualifications and Experience

  • Diploma or bachelor's degree in logistics, supply chain, marine operations, engineering, business administration or a related field.
  • At least two years of experience in logistics coordination, including site or project logistics.
  • Previous experience in offshore, marine, port, island, EPC, oil and gas or heavy-construction logistics is strongly preferred.
  • Practical experience with vessel manifests, cargo tracking, material receipt, lifting operations, truck coordination, cranes and offshore supply activities.
  • Familiarity with ADNOC Offshore requirements or comparable oil and gas operating standards is preferred.
  • Good knowledge of Microsoft Excel, Word, Outlook, cargo trackers and document-control systems.
  • Good written and spoken English.
  • Ability to work on Al Omairah Island under the project's approved work and rotation arrangement.
  • Valid offshore medical fitness, safety training and island-access requirements must be obtained where applicable.
