Job Summary

We are seeking an experienced HR Onboarding Specialist to join our team in a remote capacity, working the Eastern Standard Time (EST) shift. The ideal candidate will have strong experience managing onboarding processes for US-based companies, with a solid understanding of US employment requirements and new hire documentation.

The successful candidate will be responsible for managing the end-to-end onboarding experience, ensuring all required documentation is completed accurately and on time, and providing a seamless experience for new employees.

Experience with Paylocity and hands-on experience processing Form I-9 and employment eligibility verification are highly preferred.

A reliable high-speed internet connection and power backup are essential for this remote role.

Responsibilities

• Manage the end-to-end onboarding process for new hires, ensuring compliance with company policies and applicable US employment laws and regulations.
• Coordinate with hiring managers, HR teams, and new hires to collect and verify all required onboarding documentation.
• Manage and process new hire employment documentation, including Form I-9 and employment eligibility verification requirements.
• Ensure timely and accurate completion of onboarding tasks, documentation, and employee records.
• Conduct orientation sessions to familiarize new hires with company culture, policies, benefits, procedures, and job responsibilities.
• Facilitate new hire training sessions and ensure employees have access to required systems, tools, resources, and documentation.
• Serve as a primary point of contact for new hires during the onboarding process, responding to questions and resolving issues in a timely manner.
• Enter, update, and maintain accurate employee information in HRIS and payroll systems.
• Work closely with HR, Payroll, IT, Benefits, and other cross-functional teams to ensure a smooth onboarding experience.
• Utilize HRIS platforms, preferably Paylocity, to complete onboarding activities and maintain accurate employee records.
• Ensure compliance with Form I-9 requirements, including appropriate completion, verification, and recordkeeping processes.
• Identify opportunities to streamline onboarding workflows and improve the overall new hire experience.
• Maintain accurate and confidential records related to onboarding activities and employee information.
• Stay current with US HR practices, onboarding requirements, employment eligibility verification requirements, and relevant employment regulations.
• Assist with offboarding processes as needed, ensuring smooth and compliant employee transitions.

Requirements

• Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
• Proven experience as an HR Onboarding Specialist, HR Coordinator, HR Operations Specialist, or similar role, preferably supporting US-based companies.
• Strong understanding of US HR onboarding processes, policies, and employment requirements.
• Experience with Paylocity is highly preferred.
• Hands-on experience processing Form I-9 and employment eligibility verification is highly preferred.
• Knowledge of new hire documentation, employment eligibility verification, and US HR compliance requirements.
• Experience working with HRIS and payroll systems and maintaining accurate employee data.
• Familiarity with E-Verify and US employment eligibility requirements is preferred.
• Strong proficiency in MS Office Suite, particularly Excel, Word, and Outlook.
• Excellent written and verbal communication skills, with the ability to interact effectively with employees, hiring managers, HR teams, and other stakeholders.
• Strong organizational and multitasking skills, with exceptional attention to detail.
• Ability to handle confidential employee information with discretion and professionalism.
• Ability to work independently and effectively in a remote environment while adhering to EST working hours.
• Strong problem-solving skills and a customer-service-oriented approach.
• Reliable high-speed internet connection and power backup to ensure uninterrupted work.

Preferred Qualifications

• Experience supporting onboarding for US-based organizations.
• Hands-on experience using Paylocity for onboarding and employee data management.
• Strong hands-on experience with Form I-9 processing and employment eligibility verification.
• Familiarity with E-Verify.
• Experience supporting high-volume onboarding environments.
• Experience with HRIS integrations involving payroll, benefits, background screening, and other HR systems.
• Ability to work independently in a remote, EST night shift environment.
• Must have high-speed internet and reliable power backup.

Salary 8 to 12 lacs PA
