Onboarding Support Specialist — Dental Accounting Group

We work exclusively with dental practices, handling their bookkeeping, payroll, and accounting so practice owners can focus on patients. We are hiring our first Onboarding Support Specialist, a new role dedicated entirely to giving new clients an excellent first ninety days with our firm.

What you'll do

You will own the new client experience from the moment the engagement letter is signed until the client is fully set up and handed to their ongoing Account Manager. You will proactively drive each onboarding forward by collecting documents, following up on missing information, setting up accounting and payroll systems, coordinating conversions from the client's previous provider, and keeping the client informed throughout the process. When an issue arises, you will take responsibility for finding the answer, coordinating the right resources, and ensuring it is resolved rather than simply passing it to someone else. You'll be the person who anticipates next steps, closes open loops, and makes sure nothing falls through the cracks during a transition that is stressful for a practice owner.

When you're not onboarding, you'll support our accounting and tax department with client records, document management, and keeping our internal processes documented and current.

What we're looking for

• Someone with strong communication skills (this is a client facing role)
• Two or more years in an administrative, client service, or accounting support role
• Comfort juggling several clients at different stages without losing track
• Working knowledge of QuickBooks Online and strong spreadsheet skills
• Clear, professional writing — you'll email clients directly every day
• Quick to pick up new software; we use Canopy, Gusto, ShareFile, Fathom, and others
• Careful with details and discreet with confidential financial information
• Dental or healthcare experience is a plus, as is payroll experience, but we will train the right person on the industry.

Requirements for Candidates

• Minimum 3 years of customer service experience
• Dedicated remote office environment at your home
• Must be based in the United States of America

Preferred:

• Minimum experience of 2 years of working remotely
• Experience working in an accounting or finance department
• Foundational knowledge of accounting & experience with QuickBooks Online

Compensation Range

• Salary range: $40k-$50k DOE Plus, full benefits
• $833+ per month in company paid health benefits
• 2 weeks PTO; moves to 3 weeks after 5 years
• In addition to PTO: 10 days of paid additional office closures & 8 days paid holiday
• 3% safe harbor 401k company match
