About Pravaayu

Pravaayu is a growing Ayurveda healthcare start-up bringing classical Ayurveda into modern clinical practice. We are opening clinics that combine experienced care teams with technology-backed research and data to provide effective treatment and improve patient well-being.

You will join a growing team and contribute to smooth administrative operations, efficient material movement, and coordination across our clinics.

The Role

We are looking for an organised and proactive Operation Associate to manage day-to-day administrative activities, coordinate clinic operations, maintain records, and oversee dispatch and movement of medicines, therapy materials, and other essential supplies across our clinics. The role involves coordinating with Center Managers, vendors, therapists, and the internal operations team to ensure timely dispatches, adequate stock availability, and smooth functioning of all clinic locations.

What You Will Do

1. Administrative Responsibilities

  • Manage day-to-day administrative activities and provide operational support to all clinic locations.
  • Maintain and update records, registers, inventory sheets, dispatch logs, bills, invoices, and other administrative documents.
  • Coordinate with Center Managers and clinic staff to resolve administrative and operational issues.
  • Ensure proper documentation and timely submission of required reports.
  • Track office and clinic supplies and raise requests for replenishment when required.

2. Operations & Clinic Coordination

  • Coordinate with Center Managers, therapists, and other teams to ensure smooth daily clinic operations.
  • Monitor the availability of medicines, Ayurvedic oils, Panchakarma consumables, uniforms, and other operational materials.
  • Follow up on pending requirements, internal requests, and material shortages across clinic locations.
  • Support the implementation of operational processes, checklists, and standard procedures across clinics.
  • Assist in coordinating company-organised camps and other operational activities, ensuring all required materials are available on time.
  • Travel between clinics, the central storage location, and vendors as required for operational activities.

3. Dispatch & Material Movement

  • Coordinate the packing, labelling, and dispatch of medicines, Ayurvedic oils, therapy materials, consumables, and other supplies to different clinic locations.
  • Prepare and maintain dispatch records, delivery challans, material issue slips, and stock transfer documentation, wherever applicable.
  • Ensure materials are dispatched to the correct location in the required quantity and within the expected timeline.
  • Coordinate with delivery personnel, vendors, and clinic teams to track shipments and confirm receipt of dispatched items.
  • Maintain records of pending, completed, and delayed deliveries and follow up to resolve dispatch-related issues.
  • Verify received materials against dispatch records and report shortages, damages, or discrepancies to the concerned team.
  • Arrange urgent dispatches or deliveries whenever a clinic faces a shortage of essential supplies.
  • Ensure proper packing, handling, storage, and movement of materials to minimise damage and wastage.

4. Inventory & Stock Management

  • Maintain accurate stock records for clinic supplies, Ayurvedic oils, herbs, Panchakarma consumables, and other materials.
  • Monitor stock levels and coordinate replenishment requests before shortages occur.
  • Assist with periodic physical stock audits and reconciliation across clinics and the central storage location.
  • Track expiry dates and ensure FIFO (First-In, First-Out) rotation wherever applicable.
  • Coordinate with vendors and suppliers regarding product availability, pricing, quality, and timely delivery.
  • Prepare regular reports on stock consumption, dispatches, material transfers, and pending requirements.

Who We Are Looking For

  • Graduate in any discipline; candidates with qualifications in Business Administration, Operations, or Supply Chain Management will be preferred.
  • Experience in administration, operations coordination, dispatch, inventory, or warehouse management is preferred.
  • Good organisational, communication, coordination, and follow-up skills.
  • Basic knowledge of MS Excel, Google Sheets, email communication, and record management.
  • Ability to maintain accurate documentation and manage multiple requests simultaneously.
  • Strong attention to detail and a proactive approach to problem-solving.
  • Ability to coordinate with vendors, delivery personnel, Center Managers, and internal teams.
  • Willingness to travel between clinics and the central storage location as required.
