Operation Executive

Job Responsibilities:

1. Administrative & Management Support

• Assist HOD in liaising with respective outlets on daily administrative and coordination matters.
• Coordinate and follow up on monthly expenses and supporting document submissions from all outlets.
• Prepare documents, letters, memos, reports and presentations as required.
• Arrange meetings, prepare meeting materials and follow up on action items.
• Maintain proper records and documentation for management reference.

2. Sales Performance Reporting & Coordination

• Collect and consolidate daily, weekly and monthly sales data from all assigned outlets.
• Prepare and maintain sales performance reports, including orders, registrations, disbursements, vehicle stock, bank submission status, insurance renewal & other relevant sales KPIs.
• Monitor outlet performance and highlight outstanding matters or irregularities to HOD.
• Track and follow up on outlet action items relating to HQ requests, deadlines, marketing requirements and other operational matters.
• Ensure all required reports and submissions are completed accurately and within the required timeline.

3. Aftersales Performance Reporting

• Collect and consolidate service department reports from all assigned outlets.
• Monitor key aftersales performance indicators and outstanding matters.
• Follow up with Service Managers on pending reports, action items and required submissions.
• Highlight significant issues or delays to HOD.

4. Outlet Audit & Operational Improvement

• Conduct monthly operational audits across all assigned outlets.
• Review outlet processes, documentation, compliance and operational practices.
• Identify process gaps, compliance issues and operational ineTiciencies.
• Prepare audit findings and recommendations for improvement.
• Follow up with respective outlet managers on corrective actions and monitor completion.
• Report outstanding audit findings and progress to HOD.

5. Ad-hoc Projects & Management Support

• Assist HOD with special projects, business initiatives and management assignments.
• Support new outlet openings, campaigns, events and other operational projects.
• Assist in preparing management presentations, analysis and reports when required.
• Perform other duties and assignments as directed by HOD.

Qualifications & Requirements:

• Minimum 2 years of working experience, preferably in administration, operations, reporting or a related field.
• Automotive industry experience is an advantage but not mandatory.
• Strong computer skills, particularly Microsoft Excel and PowerPoint.
• Good command of written and spoken English.
• Strong coordination, follow-up and organizational skills.
• Detail-oriented and able to work with multiple reports and deadlines.
• Able to work independently and manage multiple tasks simultaneously.
• Willing to travel between outlets when required.
• Possess a valid driving licence.

Pay: RM2,000.00 - RM3,500.00 per month
