Operation Ocean Freight Staff

About the role

We are looking for a detail-oriented and responsible Ocean Freight Operations Staff to support our daily import and export operations. The successful candidate will be responsible for managing shipment documentation, monitoring shipment progress, coordinating with agents and customers, and ensuring smooth operations from booking through final delivery.

Key responsibilities

• Manage daily import and export operations for ocean freight shipments.
• Prepare, check, and manage shipping documents, including HB/L, MBL, Manifest, D/O, Invoice, COO, and other related documents.
• Handle shipment-related email correspondence, including Pre-Alert, CSA, NOA, POD, and other operational communications with agents and customers.
• Monitor shipments from booking through final delivery, ensuring all processes are completed accurately and on schedule.
• Verify vendor invoices and ensure all charges are accurate and properly supported by relevant documents.
• Handle costing and billing processes in the company system.
• Arrange and monitor courier schedules for the collection and delivery of D/O and other shipping documents.
• Follow up on shipment status and maintain effective communication with agents, customers, vendors, and internal teams.
• Coordinate closely with relevant departments to ensure smooth and timely shipment operations.
• Handle customer issues and take ownership of follow-up until the matter is fully resolved.
• Ensure all operational activities and documentation comply with company procedures and customer requirements.

Requirements

• Minimum 2 years of experience in logistics, freight forwarding, or a related industry.
• Familiar with import and export operations, particularly ocean freight.
• Good understanding of freight forwarding processes, documentation, and shipment flows.
• Proficient in Microsoft Office, particularly Excel and Outlook.
• Good communication and interpersonal skills with a customer-service-oriented attitude.
• Detail-oriented, organized, and able to manage multiple shipments and priorities simultaneously.
• Responsible, proactive, and able to work effectively under pressure and meet tight deadlines.
• Strong sense of ownership with good problem-solving and follow-up skills.
• Good command of written and spoken English is preferred.
• Willing to be assigned in Jakarta and Surabaya.
