Operation Staff

About the role

We are looking for a responsible, organized, and detail-oriented Operations Staff to assist in the day-to-day management of properties, with a primary focus on move-in and move-out transactions.

Key responsibilities

Move-in Operations

• Coordinate and process tenant move-in schedules and requirements.
• Verify and collect all required move-in documents and information.
• Coordinate with building administration regarding move-in permits, schedules, access cards, keys, and other requirements.
• Conduct or coordinate unit inspections prior to move-in.
• Prepare and ensure completion of move-in checklists and documentation.
• Coordinate key/access card handover to tenants.
• Assist tenants with move-in-related concerns and inquiries.
• Ensure all move-in records are properly updated and filed.

Move-Out Operations

• Coordinate tenant move-out schedules and procedures.
• Confirm move-out requirements, notices, and necessary documentation.
• Coordinate with building administration for move-out permits and schedules.
• Conduct or coordinate move-out inspections and document the condition of the property.
• Check for damages, missing items, unpaid charges, or other concerns that need to be addressed.
• Coordinate with the property owner/management regarding deductions, repairs, cleaning, or restoration requirements.
• Manage the return of keys, access cards, parking cards, and other property-related items.
• Prepare and complete move-out checklists and turnover documentation.
• Ensure the property is properly turned over and ready for the next tenant.
