Operations Admin

About the role

The Operation Admin is responsible for supporting day-to-day operations and ensuring smooth workflow between management and the technical team. This role involves handling administrative tasks such as scheduling, documentation, and correspondence, while also managing technician reports on preventive maintenance activities and monitoring inventory needs.

Key responsibilities

• Handle correspondence, emails, and phone calls from technician base
• Maintain and organize company files, records stock
• Monitor and track operational processes to ensure timely completion of tasks
• Standardize procedures and create guidelines for better workflow management
• Assist in audits, compliance checks, and inspections as required
• Manage and compile technician team reports on preventive maintenance activities (KTMB & Terminal Project)
• Track, update, and maintain inventory of tools, spare parts, and equipment required by the technician team (KTMB & Terminal Project)
• Provide administrative support to ensure smooth coordination between the operations and technical teams

About you

• Diploma/Degree in Business Administration, Management, or related field
• Minimum 2–3 years of working experience in administration or operations support (experience in IT/technical operations is an advantage)
• Strong organizational and multitasking skills with high attention to detail
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software/tools
• Good communication skills (written & verbal) in English and Bahasa Malaysia
• Ability to work independently as well as part of a team
• Knowledge of inventory management systems or basic technical/maintenance processes will be an added advantage
