Operations Admin Executive

About the role

Lead and coordinate an Operations Administration team, managing procurement activities including PR, PO, GRN, vendor coordination, and invoice tracking. Oversee 3PL transport procurement and documentation, billing processes, invoice verification, and reporting. Handle OSND (Over, Short & Damaged) claims and follow-up with transporters, monitor Delivery Note (DN) issuance, tracking, and documentation. Oversee attendance records for 3PL manpower, drivers, and lumpers, and prepare CPH reports while monitoring operational productivity.

Key responsibilities

• Lead and coordinate an Operations Administration team
• Manage procurement activities including PR, PO, GRN, vendor coordination, and invoice tracking
• Oversee 3PL transport procurement and documentation
• Manage billing processes, invoice verification, and reporting
• Handle OSND (Over, Short & Damaged) claims and follow-up with transporters
• Monitor Delivery Note (DN) issuance, tracking, and documentation
• Oversee attendance records for 3PL manpower, drivers, and lumpers
• Prepare CPH reports and monitor operational productivity
• Maintain trackers, reports, and operational records
• Coordinate with Warehouse, Transport, Inventory, Finance, Customer Service, and other stakeholders

About you

• Diploma or Bachelor's Degree in Business Administration, Logistics, Supply Chain, Operations Management, or a related field
• Minimum 3 to 5 years of experience in operations administration, logistics, transport, procurement, billing, or supply chain
• Experience in supervising or coordinating a team is an advantage
• Knowledge of 3PL transport operations is preferred
• Strong Microsoft Excel and reporting skills
• Good analytical, communication, and stakeholder management skills
• Able to work in a fast-paced environment and manage multiple priorities
