Operations Admin Executive (Security Industry)

We are seeking an organized Operations Admin Executive to support the daily deployment of security officers and keep operations records accurate and up to date. The role works closely with the Operations, HR and Finance teams, as well as clients and site supervisors.

Key Responsibilities

• Maintain officer deployment schedules, duty rosters, attendance records and site manpower trackers.

• Coordinate shift changes, replacements, leave and medical certificate updates with the Operations team.

• Check attendance records, overtime and allowances before submission for payroll and client billing.

• Prepare and update operational reports, incident records and other documents required by clients.

• Assist with officer onboarding, including document collection, uniform arrangements and site reporting instructions.

• Respond to routine queries from officers, clients and internal teams, and escalate urgent operational issues promptly.

• Keep records organized and handle employee and client information confidentially.

Requirements

• Diploma or equivalent qualification; relevant administrative experience is preferred.
• Experience in the security industry, manpower deployment or operations support is an advantage.
• Good working knowledge of Microsoft Excel, Word and email.
• Able to manage changing schedules, meet deadlines and communicate clearly with different teams.
• Careful with records and numbers, with a practical approach to resolving day-to-day issues.
