What they need

About the Role

The Sapir Team at Compass is seeking a highly organized, proactive, and detail-oriented Operations Administrator to join our growing New York City real estate team.

We are looking for someone who thrives in a fast-paced environment, takes ownership of their responsibilities, and can confidently handle multiple priorities while maintaining a high level of accuracy and organization.

As Operations Administrator, you will support the day-to-day operations of the team and work closely with the team leader and agents across listings, transactions, marketing, client service, administrative tasks, and internal systems.

This role is ideal for someone who enjoys staying organized, coordinating multiple moving pieces, solving problems, following through on tasks, and helping a busy real estate team operate efficiently.

Key Responsibilities

  • Coordinate the team's day-to-day administrative and operational needs.
  • Handle listing operations from preparation and launch through contract and closing.
  • Assist with transaction coordination, including documentation, deadlines, communications, and follow-ups.
  • Prepare and coordinate co-op and condo board packages, ensuring all required documentation is complete, accurate, and submitted on time.
  • Support new listing launches, including coordinating photography, staging, property information, marketing materials, and online listing preparation.
  • Coordinate marketing initiatives, including email campaigns, newsletters, postcards, social media, and property-specific marketing.
  • Maintain organized records, files, databases, contact information, and internal systems.
  • Manage calendars, meetings, appointments, and important team and transaction deadlines.
  • Communicate professionally with clients, agents, attorneys, managing agents, vendors, photographers, stagers, and other industry professionals.
  • Track outstanding tasks, documents, approvals, and deadlines and proactively follow up with the appropriate parties.
  • Review documents, applications, marketing materials, and communications for accuracy, consistency, and completeness.
  • Prepare forms, agreements, reports, spreadsheets, presentations, and other administrative materials as needed.
  • Assist with client communications and provide timely updates throughout listings and transactions.
  • Support open houses, showings, property access, keys, appointments, and other listing logistics when needed.
  • Maintain and update listing information across relevant real estate platforms and internal systems.
  • Assist with maintaining and improving team templates, checklists, processes, and workflows.
  • Research and utilize technology and AI tools that can improve organization, productivity, marketing, and team efficiency.
  • Assist with reporting, data tracking, research, and special projects.
  • Provide reliable administrative support to the team leader and agents as needed.
  • Deliver a high level of service and professionalism to clients, team members, and outside partners.

Qualifications

  • Previous experience in administration, operations, executive support, transaction coordination, real estate support, or a similar role.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and accuracy.
  • Ability to manage multiple tasks, projects, and deadlines simultaneously.
  • Strong follow-up skills and the ability to keep track of outstanding items without constant supervision.
  • Strong problem-solving and critical-thinking abilities.
  • Comfortable working independently, taking initiative, and asking questions when necessary.
  • Professional and confident when communicating with clients and industry professionals.
  • Proficiency with common office technology, email, spreadsheets, document management, and online platforms.
  • Comfortable learning and working with new technology, software, and AI tools.
  • Ability to work effectively in a fast-paced, team-oriented environment.
  • NYC real estate experience is a plus, but not required.
