About the Role:

In this role, you’ll play an important part in supporting our day-to-day operations, coordinating purchase orders and shipments, managing export orders, and maintaining accurate inventory and product information across our systems. You’ll work closely with internal teams, overseas counterparts, suppliers, freight forwarders, and customers to ensure orders are processed efficiently and deliveries run smoothly.

Reporting to the National Operations Manager, you’ll be responsible for supporting various operational functions, including:

o   Shipping & Freight Coordination: Monitor inbound shipments, track delivery progress, coordinate freight arrangements, manage freight-related documentation, and follow up on delays or issues.

o   Export Order Coordination: Process export orders for overseas dealers and subsidiaries, liaising with customers, shipping agents, product managers, and branch administrators to coordinate orders, deliveries, and installations.

o   Operations Administration: Maintain accurate product, customer, pricing, compliance, and warranty records across company systems. Support spare parts ordering, stock tracking, and inventory administration.

o   Systems & Data Management: Ensure shipping advice, material codes, purchase orders, and related information are accurately recorded in SAP and other relevant databases.

o   Stakeholder Communication: Respond to internal and external queries, provide timely updates, and proactively escalate significant operational issues.

o   Reporting & Reconciliation: Monitor shipment forecasts, review freight costs, maintain landed cost records, and support monthly reporting and close-off requirements.

o   Continuous Improvement: Identify opportunities to improve operational processes, strengthen workflows, and help the team work more efficiently.

o   Team Support: Provide general operational and administrative support to ensure the smooth running of the wider Operations team.

To be successful in this role, you will bring:

  • Strong organisational and time-management skills, with the ability to prioritise competing tasks and meet deadlines.
  • Excellent attention to detail and a disciplined approach to following processes and procedures.
  • Good written and verbal communication skills, with the ability to build positive working relationships.
  • Strong computer literacy, particularly in Microsoft Excel and other Microsoft Office applications.
  • The ability to analyse information, identify discrepancies, resolve problems, and take initiative.
  • A collaborative and flexible approach, with a willingness to support the wider team.
  • A proactive mindset and an interest in identifying opportunities for process improvement.
