About the Role
We're looking for a highly organised, proactive and reliable Operations & Admin Coordinator to support the smooth day-to-day running of Bronte House.
This is a varied, hands-on role combining administration, coordination, record keeping and operational support. You'll help ensure our systems are organised, information is accurate and our administrative processes run efficiently.
You'll work closely with the Registered Manager and Care Quality & Experience Manager, providing essential administrative support to the care team so they can focus on delivering excellent care.
We're looking for someone who takes ownership of their work, follows tasks through to completion and uses their initiative to solve problems and improve how things are done.
You'll also be confident using digital systems and interested in finding practical ways to make our processes more efficient.
This role is about getting the details right, keeping things moving and making a real difference to how the service operates.
Why Join Us?

- Have opportunities to develop your skills as the business grows.
Responsibilities
- Manage a high volume of day-to-day administrative tasks efficiently, accurately and promptly, keeping records up to date and systems organised.

- Maintain staff files, training matrices, compliance records, annual leave trackers and other operational documents.
- Support client onboarding, care review administration and updates to client records within our care management system.
- Assist with roster administration, schedule updates and day-to-day operational coordination.
- Support quality assurance and regulatory compliance through audits, evidence gathering, document checks and maintaining organised records.
- Maintain governance trackers, meeting records, action logs and other quality-related documentation.
- Coordinate the collection of client and staff feedback, maintaining records to support quality monitoring and service improvement.
- Assist with financial administration, including expenses, mileage and financial tracking.
- Respond to day-to-day queries and communicate warmly and professionally with clients, families and the team.
- Maintain existing systems and trackers, identifying practical opportunities to improve efficiency using digital tools where appropriate.
- Provide general administrative and operational support to the wider team as required.
- Client Care Companion role (as outlined in this job description) as required to ensure a consistent and smooth service for our clients.
- Any other duties required by the business to support the smooth running of the service.
What We're Looking For
We're looking for someone who is organised, dependable and takes pride in doing a job well. You'll be comfortable managing a high volume of administrative work, balancing competing priorities and working efficiently under pressure.
- Previous experience in an administrative, coordination or operations role.
- Excellent organisational skills and strong attention to detail.
- High levels of competence in Microsoft Office, particularly Word, Excel and PowerPoint, alongside confidence using digital systems.
- The ability to manage multiple tasks and competing priorities, working efficiently and accurately to meet deadlines.
- A flexible and adaptable approach, recognising that priorities can change in a care environment and responding positively to changing needs while maintaining an organised and effective approach to your workload.
- A proactive approach, taking ownership of tasks and seeing them through to completion without constant supervision.
- Excellent time management skills and the ability to work effectively under pressure in a fast-paced environment.
- A methodical approach to managing information, maintaining accurate records and keeping systems organised.
- Strong problem-solving skills, with the ability to use initiative and work independently as well as collaboratively within a team.
- A practical, solutions-focused mindset and an interest in improving processes and making systems more efficient.
- Confidence in learning and adapting quickly to new systems and processes.
- An interest in digital tools, technology and AI, with the ability to identify opportunities to streamline administrative tasks and improve efficiency.
- Strong written and verbal communication skills in English, with a warm and professional approach.
- Professionalism and discretion when handling confidential and sensitive information.
- A genuine interest in supporting high-quality, person-centred care for older people and contributing to a positive, well-supported team.
- A commitment to high standards and an approach that aligns with our values and ambition to deliver outstanding care.
Experience in health and social care would be beneficial but is not essential.
Experience using digital tools, automation or AI to improve efficiency would also be an advantage.
Above all, we're looking for someone who is reliable, methodical and proactive; someone who can manage a high volume of work, juggle multiple priorities, work effectively under pressure and take responsibility for getting things done.
