What they need

Join the team behind some of Australia's most iconic showbags and carnival attractions!

National Showbags and Carnival Amusements are established Australian businesses operating in the exciting world of Royal Shows, major events, confectionery, licensed merchandise and amusement rides.

From the iconic Bertie Beetle Showbag to some of Australia's biggest Royal Shows and carnival events, our businesses are fast-paced, diverse and constantly evolving.

We're looking for a highly organised, enthusiastic and proactive Operations & Administration Coordinator to join our team at our Malaga office.

This is a varied, hands-on position suited to someone who enjoys keeping things organised, solving problems and making sure everything runs smoothly behind the scenes.

If you love variety, take pride in your work and enjoy getting things done, we'd love to hear from you!

About the Role

Working closely with our management and operations teams, you'll play an important role in supporting the day-to-day administration and coordination of our businesses.

Your responsibilities will range from purchasing, supplier coordination and freight bookings through to Royal Show administration, online store management, customer service and general business support.

You'll also assist with coordinating our four major showbag production cycles throughout the year.

This is an ideal opportunity for someone who enjoys a mix of administrative and operational responsibilities and wants to become an important part of a growing business.

Key Responsibilities

Operations & General Administration

  • Provide day-to-day administrative support across National Showbags and Carnival Amusements.
  • Manage general correspondence, supplier enquiries and business documentation.
  • Assist with purchase orders, invoices, records and administrative processes.
  • Maintain accurate spreadsheets, reports and internal systems.
  • Coordinate bookings, follow up outstanding tasks and monitor important deadlines.

Purchasing, Stock & Logistics

  • Coordinate stock and packaging orders with suppliers, including Nestlé and merchandise suppliers.
  • Monitor stock availability, order confirmations and delivery schedules.
  • Arrange freight bookings and stock transfers between suppliers, warehouses and interstate events.
  • Liaise with freight providers and third-party warehouses.
  • Assist with inventory records and purchasing administration.

Royal Show & Event Administration

  • Prepare and submit showbag applications, product listings and documentation for major Australian Royal Shows.
  • Coordinate exhibitor passes, inductions, compliance documents and event requirements.
  • Liaise with show societies and event organisers.
  • Assist with travel, accommodation and logistics arrangements.
  • Provide administrative support for amusement ride hire, festivals and carnival events.

Online Store, Wholesale & Customer Service

  • Assist with the day-to-day management of our Shopify online store.
  • Update product listings, pricing, descriptions and stock availability.
  • Respond to customer enquiries and coordinate order issues, returns and replacements.
  • Process wholesale enquiries, customer orders and invoices.
  • Assist with promotional campaigns, email marketing and website updates.

Showbag Production Coordination

  • Assist with planning and coordinating four major showbag production cycles annually.
  • Prepare packing schedules, stock requirements and production spreadsheets.
  • Liaise with external packing facilities and suppliers.
  • Monitor production progress and deadlines.
  • Coordinate the movement and collection of completed stock.

About You

We're looking for a motivated and reliable person who is naturally organised, has excellent attention to detail and enjoys working in a busy environment.

You'll be someone who takes initiative, follows through on tasks and is comfortable juggling multiple priorities.

To succeed in this role, you'll ideally have:

  • Previous experience in administration, operations support or a coordination role.
  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Confident written and verbal communication skills.
  • Good computer skills, particularly Microsoft Excel and Google Sheets.
  • The ability to prioritise tasks and work independently.
  • A proactive, positive attitude and a willingness to learn.
  • Strong problem-solving skills and a practical, can-do approach.
  • The ability to work collaboratively with management, colleagues, suppliers and customers.

Experience in the following would be advantageous but is not essential:

  • Shopify or other e-commerce platforms.
  • Purchasing, inventory management or logistics.
  • Xero or similar accounting software.
  • Event administration or coordination.
  • Email marketing and basic digital content management.
  • Using AI and digital tools to improve workplace efficiency.

What We Offer

  • Salary of $66,000–$70,000 + superannuation, depending on experience.
  • A permanent, full-time position based in Malaga.
  • A diverse and interesting role where no two days are the same.
  • The opportunity to work across two established Australian businesses.
  • A friendly, supportive and down-to-earth team environment.
  • Exposure to some of Australia's biggest Royal Shows and entertainment events.
  • Opportunities to learn new skills and develop within the business.
  • A workplace that values initiative, teamwork and fresh ideas.

Why Join Us?

We're not your typical office-based business!

Our team works behind the scenes to bring some of Australia's best-known showbags, amusement rides and entertainment experiences to life.

We're a hands-on, hardworking team that values people who are dependable, adaptable and willing to get involved.

This is a great opportunity for someone looking for a stable, long-term position with plenty of variety and the chance to make a real contribution to the business.
