What they need

Role Overview

The Operations & Business Liaison serves as the primary operational anchor and trusted proxy for the business owner. This role bridges the gap between creative vision and day-to-day execution. The incumbent will be responsible for orchestrating daily administrative, project, and client workflows, making critical operational decisions in alignment with the owner's philosophy, and safeguarding the brand’s standards across all interior design and construction engagements.

Unlike a traditional administrative role, this position requires high-level problem-solving, emotional intelligence, and the capability to act as the primary point of contact when the owner is engaged in high-level business development or design conceptualization.

Key Responsibilities

  1. Executive & Strategic Alignment

Owner’s Proxy: Attend key client, vendor, or site meetings on behalf of the principal when necessary, ensuring the company’s core values, design standards, and business interests are fiercely protected.

*Decision-Making: Handle day-to-day operational bottlenecks, minor disputes, and scheduling conflicts independently using sound judgment aligned with the owner's strategic vision.

* Information Hub: Filter, prioritize, and manage communications between internal teams, external contractors, and the business owner to ensure seamless information flow.

  1. Project & Site Operations Coordination

* Workflow Oversight: Monitor the lifecycle of interior design and construction projects, tracking milestones from initial client briefing through procurement, site execution, and final handover.

* Resource Allocation: Coordinate logistics, material deliveries, and artisan/subcontractor schedules in collaboration with site supervisors to prevent delays.

* Quality Control: Conduct routine site walkthroughs to verify that workmanship, materials, and finishing align with the firm's premium design specifications.

* Directly oversee the daily activities of on-site design assistants, installers, and specialized artisans (carpenters, painters, metalworkers, etc.).

  • Enforce strict quality control across all custom fabrications and installations to ensure they match approved design specifications.
  • Maintain site safety and organizational standards, ensuring all teams work efficiently and respectfully.
  1. Client Relations & Stakeholder Management

Primary Liaison: Serve as a reassuring, highly professional point of contact for high-net-worth clients, keeping them updated on project progress and addressing routine inquiries.

* Expectation Management: Navigate client feedback and requests diplomatically, escalating major scope changes or financial variations to the owner with clear, data-driven recommendations.

  1. Administrative & Financial Administration

Vendor & Procurement Oversight: Review purchase orders, track supplier pricing, and negotiate with vendors to maintain healthy profit margins without compromising quality.

* Documentation: Ensure all project documentation, including contracts, design briefs, purchase receipts, and client sign-offs, are properly organized and archived.

* Financial Tracking: Assist with tracking project expenses, petty cash, and billing milestones to ensure smooth invoicing cycles

  1. Timeline, Workflow & Logistics
  • Develop and track detailed production schedules and daily milestone charts to guarantee the project moves at the required pace.
  • Manage logistics and inventory, including tracking materials, tools, and the delivery of furniture, fixtures, and equipment (FF&E) to the site.
  • Proactively identify bottlenecks in artisan workshops or on-site and implement immediate recovery plans to safeguard the final delivery date.

6.Vendor & Artisan Management

  • Source, vet, and onboard highly skilled artisans and third-party contractors who meet the company's quality standards.
  • Coordinate raw material procurement and verify that supplies delivered to artisans or sites are accurate and free of defects.
  • Evaluate vendor performance regarding timeliness, craftsmanship, and reliability for future project pairings.

Requirements

. 1-2 years experience in a similar role or in an administrative position
