Operations & Dispatch Coordinator – Crane Hire

About the role

Urban Cranes is a growing Western Australian crane hire business servicing commercial, civil, mining and construction projects. This is a varied, hands-on role covering daily scheduling, customer bookings, resource coordination, electronic dockets, invoicing and operational documentation.

Key responsibilities

• Coordinate daily crane, transport and labour allocations.
• Manage customer bookings, enquiries and scheduling changes.
• Process and review electronic dockets using the Visual Dispatch system.
• Prepare and process customer invoices, ensuring accuracy of charges, hours and rates.
• Follow up on missing dockets, signatures and supporting documentation.
• Manage purchase orders, job records and customer invoicing requirements.
• Coordinate site inductions, compliance and project documentation.
• Assist with cross-hire bookings, supplier dockets and invoices.
• Liaise with customers, operators, suppliers and internal departments.
• Ensure completed jobs are accurately documented and invoiced promptly.

About you

• Experience in operations, dispatch, logistics, equipment hire or construction.
• Previous docket processing and invoicing experience is essential.
• Strong knowledge of operational documentation, purchase orders and billing requirements.
• Excellent computer skills and confidence learning new software.
• Strong organisational skills with exceptional attention to detail.
• Ability to multitask, problem-solve and work under pressure.
• Confident communication skills and a proactive, can-do attitude.
• Crane hire or heavy equipment industry experience is highly regarded.
