What they need
About Harmony Auto
Harmony Auto is one of Australia's fastest-growing automotive groups, representing leading new energy vehicle brands including BYD and DENZA.
As our aftersales business continues to grow, we are looking for a highly organised and proactive Aftersales Operations & Project Specialist to work closely with our Head of Aftersales and support the delivery of key business projects across our growing dealership network.
This is a varied role combining project coordination, stakeholder management, business operations and executive support. You will play an important role in helping turn business initiatives into action, coordinating different teams and ensuring key projects and follow-up actions are delivered effectively.
About the Role
This role will suit someone who is highly organised, commercially aware and confident working with different stakeholders.
You will work closely with the Head of Aftersales to coordinate and drive a range of aftersales projects and business initiatives, while also providing day-to-day executive and administrative support.
You will be expected to take ownership of tasks and projects, follow up with stakeholders, identify issues and keep things moving — rather than simply providing administrative support.
Key Responsibilities
Aftersales Projects & Operations
- Coordinate and support key projects and initiatives across the aftersales business
- Take ownership of project timelines, actions, follow-ups and deliverables
- Coordinate with dealership teams and relevant departments to ensure projects are implemented effectively
- Track project progress, identify issues and follow up with stakeholders to keep activities on schedule
- Prepare project updates, reports, presentations and business documentation
- Support the implementation and continuous improvement of aftersales processes and initiatives
- Assist with KPI tracking, operational reporting and data analysis
- Coordinate meetings, workshops, training and other business activities across multiple locations
Stakeholder Management
- Build and maintain strong working relationships with dealership management, Service, Parts and other internal teams
- Coordinate communication between the Head of Aftersales, dealership teams, senior management and overseas stakeholders
- Follow up with stakeholders on agreed actions and ensure commitments are delivered
- Communicate clearly and professionally across different levels of the organisation
- Help resolve operational issues by coordinating the right people and information
Executive Support
- Provide day-to-day administrative and executive support to the Head of Aftersales
- Manage calendars, meetings, schedules and travel arrangements where required
- Prepare meeting agendas, minutes, presentations and correspondence
- Track and follow up on action items from meetings
- Assist with translation and interpretation during meetings and business discussions
- Support the Head of Aftersales with ad hoc business and administrative tasks
About You
We are looking for someone who can combine strong project and coordination skills with excellent stakeholder management.
You will ideally have:
- Experience in project coordination, project management, operations, business support, executive support or a similar role
- Strong organisational and time management skills
- Excellent communication and interpersonal skills
- Strong stakeholder management skills and the ability to build positive working relationships
- Ability to coordinate multiple stakeholders and keep projects moving
- Strong follow-up skills and a proactive, can-do attitude
- Ability to work independently, take ownership and meet deadlines
- Strong attention to detail and ability to manage multiple priorities
- Experience preparing reports, presentations and business documentation
- Strong Microsoft Office skills, particularly Excel, PowerPoint, Word and Outlook
- Fluent English and Mandarin Chinese, both written and verbal
- A valid Australian driver's licence and the ability to travel between dealership locations when required
Experience in Automotive / Aftersales
Previous experience in automotive, aftersales, dealership operations, service, parts or a related industry is highly regarded, but is not essential.
We are also open to candidates from other industries who have strong project management, operations, stakeholder management or executive support experience and can demonstrate the ability to quickly understand and coordinate business processes.
Why Join Us?
- Join a rapidly growing automotive group and work with leading EV brands including BYD and DENZA
- Work closely with senior leadership and gain exposure to strategic business projects
- Take ownership of projects that directly contribute to the growth of our aftersales business
- Work across multiple dealership locations and functions
- Develop your career across project management, business operations and automotive aftersales
- Join a collaborative and multicultural working environment
