Operations & Sales Support Coordinator

About the Role

This is a hands-on role for someone who likes to be busy, gets satisfaction from getting things done, and enjoys being the person who keeps everything moving.

Working closely with the Operations Manager, you’ll play a key role across purchasing, supply chain and customer orders, making sure products are ordered, stock arrives when it should, customer orders are processed accurately and any issues are followed through to resolution.

You’ll have plenty of variety day to day — from speaking with suppliers and coordinating freight, to processing customer orders and working with the warehouse team to keep things running smoothly. It’s a role where your organisation, urgency and attention to detail will have a direct impact on the business.

Key Responsibilities

1.  Purchasing & Supply Chain Coordination

You will support the Operations Manager with the full purchasing cycle — from planning through to follow-up — ensuring stock arrives on time and the supply chain runs without interruption.

• Raise and process purchase orders accurately in Tall Emu
• Liaise directly with contract manufacturers and indigenous farm suppliers to confirm orders, lead times, and availability
• Proactively follow up open purchase orders to ensure on-time delivery — escalating issues early with recommended solutions
• Coordinate inbound freight with transport providers, including refrigerated and frozen freight where required
• Work with warehouse staff to schedule inbound receiving windows and resolve delivery discrepancies
• Support forward purchase planning based on sales forecasts and seasonal ingredient availability
• Monitor stock levels and flag reorder triggers before stock-outs occur
• Maintain the ordering calendar and assist with replenishment planning across core SKUs
• Keep supplier records, pricing, and product codes up to date in Tall Emu

2.  Sales Order Processing & Customer Support

You will take full ownership of order entry and inbound customer handling, allowing the Operations Manager to focus on operations and stock availability rather than administration.

• Accurately enter customer orders into Tall Emu from all channels — Ordermentum, email, and phone
• Answer inbound calls and emails from foodservice customers, distributors, and new enquiries promptly and professionally
• Issue order confirmations and delivery notifications, and manage any amendments, credits, or short shipments
• Liaise with the warehouse team to confirm despatch timelines and communicate any availability issues to customers
• Provide accurate product information, pricing, and availability to customers
• Maintain up-to-date customer records and log all interactions in Tall Emu
• Support follow-up on the Native Foods Forecast Form — contacting customers to assist with forward purchase planning
• Assist with invoicing queries and liaise with accounts for credit-related matters

• Onsite presence is essential to this role

Experience & Qualifications

• 1–3 years' experience in purchasing, sales support, operations coordination, or a similar role
• Experience using an ERP, CRM, or order management system is ideal (Tall Emu experience highly regarded)
• Background in food, produce, FMCG, or foodservice distribution preferred
• Confident using Microsoft Office or Google Workspace
• A qualification in Business, Supply Chain, or a related field is an advantage but not required
