What they need

About Kimer Med

Kimer Med is an innovative biotechnology company based in Nelson, New Zealand. As our organisation grows, we're looking for an experienced and capable Operations & Services Coordinator to support our team and help keep our day-to-day business operations running smoothly.

This is a varied role in a small, collaborative organisation, offering the opportunity to contribute meaningfully across several business functions.

About the role

Reporting to the Operations Manager, you'll provide administrative and operational support across the business while working closely with the Chief Executive and other team members.

You'll help coordinate purchasing activities, maintain business records, support executive and Board administration, and assist with the systems and processes that keep our organisation functioning effectively.

We're looking for someone who enjoys variety, takes pride in their work, and brings a practical, professional approach to supporting others.

Key responsibilities include:

  • Office administration: Coordinate daily administrative activities, maintain office systems and records, and support general office and facilities requirements.
  • Purchasing and procurement: Prepare and track purchase orders, coordinate supplier invoices, follow up on deliveries, and maintain accurate purchasing documentation.
  • Supplier relationships: Communicate with suppliers, contractors, and service providers, maintain contact records, and assist with routine contract administration.
  • Executive and Board support: Assist the Chief Executive with correspondence, scheduling, meetings and administrative priorities. Support Board meetings through agenda preparation, minutes and governance records.
  • People administration: Assist with recruitment coordination, employee onboarding, induction, and general HR administration.
  • Systems and processes: Maintain organised records and electronic filing systems, support established procedures, and contribute suggestions for improving administrative workflows.

About you

We're looking for an experienced, dependable professional who brings sound judgement, strong organisational skills, and a constructive approach to working with others.

You'll be comfortable managing competing priorities, communicating with people across different functions, and adapting to the needs of a growing organisation.

You'll bring:

  • Demonstrated experience in office administration, executive support, business coordination or a comparable professional role.
  • Strong organisational and time-management skills, with excellent attention to detail.
  • Clear, professional written and verbal communication.
  • Sound judgement, discretion, and the ability to handle confidential information appropriately.
  • Confidence managing multiple responsibilities and following through on commitments.
  • A practical, solutions-focused approach to challenges and changing priorities.
  • The ability to work independently within established processes while recognising when guidance or escalation is appropriate.
  • Strong general computer skills and the ability to learn new systems.

Experience that would be advantageous includes:

  • Purchasing, supplier coordination or invoice administration.
  • Xero or similar business accounting systems.
  • Microsoft 365 and SharePoint.
  • Executive assistance or Board administration.
  • Recruitment, onboarding or general HR support.
  • Working in a small business or growing organisation.

Experience in biotechnology is not required.

Why join Kimer Med?

  • Work with a small, dedicated team in a growing New Zealand biotechnology company.
  • Enjoy a varied position with opportunities to contribute across the organisation.
  • Apply your experience and organisational skills in a practical, collaborative environment.
  • Contribute to improving the systems and processes that support our continued development.
