Operations and Talent Coordinator

Position: Operations and Talent Coordinator Location: Pune ACS International India is seeking a highly organized and process-oriented Recruitment Operations & Talent Acquisition Coordinator to support end-to-end recruitment operations. This role will ensure recruitment processes run efficiently, hiring data remains accurate, candidates receive positive experience, and all stakeholders adhere to recruitment governance standards.

The ideal candidate will serve as the operational backbone of the Talent Acquisition function by managing ATS administration, interview coordination, recruitment reporting, vendor management, candidate engagement, and hiring process compliance

Key Responsibilities Recruitment Operations

• Own and maintain recruitment operations across all business divisions.
• Ensure all open requisitions are accurately maintained and updated in the ATS.
• Monitor hiring workflow adherence and recruitment process compliance.
• Generate weekly hiring reports, dashboards, and recruitment metrics.
• Support recruiters and hiring managers throughout the recruitment lifecycle.

ATS Administration & Governance

• Maintain complete and accurate ATS records throughout the hiring process.
• Ensure candidate stages, interview outcomes, and requisition statuses are updated on a timely basis.
• Conduct periodic audits to identify and rectify ATS data quality issues.
• Train hiring stakeholders on ATS process requirements and best practices.
• Act as the first point of contact for ATS-related operational issues.

Interview Coordination

• Schedule interviews between candidates, recruiters, hiring managers, and interview panels.
• Coordinate assessments, technical evaluations, and stakeholder feedback collection.
• Ensure interview feedback is completed within agreed timelines.
• Manage candidate communications throughout the interview process.

Candidate Experience

• Serve as a key point of contact for candidates throughout the recruitment journey.
• Track and monitor Candidate Net Promoter Score (NPS) and candidate satisfaction metrics.
• Ensure timely communication, interview scheduling, feedback updates, and offer coordination.
• Identify opportunities to improve candidate experience and employer branding.

Recruitment Reporting & Analytics

• Maintain and update recruitment dashboards.
• Track hiring pipeline health, aging requisitions, conversion ratios, and offer acceptance rates.
• Prepare weekly and monthly recruitment reports for HR and business leaders.
• Support workforce planning and hiring forecast activities.

Vendor Management

• Maintain consultant and recruitment agency trackers.
• Monitor vendor performance against agreed service levels.
• Track candidate submissions, closures, and hiring source effectiveness.
• Coordinate invoices and vendor documentation as required.

Offer & Onboarding Support

• Support offer generation and documentation processes.
• Coordinate pre-joining engagement activities.
• Track joining confirmations and recruitment funnel conversions.
