What they need

Position: Operations Assistant

Location: Toronto, ON

Job type: Full-time, on-site

This posting is for an existing vacancy.

About Us

We're a growing Toronto-based group of businesses, including grocery markets and restaurants, and we're expanding quickly. Our locations work closely together: products move between our stores, kitchens and distribution hub every day. We're now building the systems and processes to keep up with that growth.

About the Role

We're looking for an organized, hands-on Operations Assistant to keep our day-to-day operations running smoothly. You'll work with teams across our markets, restaurants and distribution hub, keep our records accurate, and help turn how we work into clear, written procedures.

The work is varied. Some days are structured admin; others are solving whatever comes up. If you like bringing order to a busy, growing business and seeing things through to the finish, this role is for you.

Key Responsibilities

Operations coordination

  • Act as the point of contact between store managers, kitchen teams, delivery drivers and head office
  • Help track stock transfers between locations and keep receiving and transfer records accurate
  • Support delivery scheduling and keep drivers and stores informed of changes
  • Work with suppliers: place and follow up on orders, confirm deliveries, and resolve issues such as short shipments, wrong items or invoice errors
  • Monitor and reorder supplies for our locations (packaging, cleaning and office supplies)

Records and administration

  • Enter and update data in our internal apps and spreadsheets (orders, transfers, receiving)
  • Collect and organize invoices, receipts and paperwork for our bookkeeper
  • Manage calendars, schedule meetings and coordinate appointments
  • Respond professionally to calls, emails and inquiries from staff, suppliers and customers
  • Keep digital and paper files organized and easy to find

Processes and documentation

  • Write and maintain standard operating procedures (SOPs), checklists and training materials, starting with how things are done today
  • Spot recurring problems or inefficiencies, then suggest and help put improvements in place
  • Help prepare onboarding materials for new staff

Projects and general support

  • Support special projects, including rolling out new tools and processes across our locations
  • Take on ad-hoc tasks across the business as needed
  • Handle sensitive information with confidentiality and professionalism

Qualifications

  • High school diploma required; college diploma or university degree preferred
  • 1–3 years of experience in operations, administration or coordination
  • Fluent in English and able to communicate clearly in both Cantonese and Mandarin
  • Clear, professional written and verbal communication
  • Highly organized and detail-oriented; able to juggle several priorities and follow through without reminders
  • Comfortable with Google Workspace (Gmail, Sheets, Docs), with solid spreadsheet skills
  • Quick to learn new apps and software
  • Comfortable working in a fast-paced retail and food environment
  • Proactive, adaptable and solutions-focused

Preferred (Not Required)

  • Experience in grocery, food service, retail or a multi-location business
  • Experience with inventory, ordering or point-of-sale (POS) systems
  • Experience writing procedures, checklists or training materials
  • Basic bookkeeping or data entry experience

What We Offer

  • Competitive pay
  • A supportive, collaborative team
  • Real impact: the processes you build will shape how a growing business runs
  • Opportunities for professional development and growth
  • Flexible schedule and employee perks

Pay: $18.00-$19.00 per hour

Expected hours: 20.0 – 40.0 per week

Benefits:

  • Casual dress
  • Company events
  • Flexible schedule
  • On-site parking

Work Location: In person
