What they need

Operations Assistant

Sussex Audiology Centre
Salary: £30,000–£35,000 per annum, depending on experience
Location: Sussex – working across our clinic locations as required

About Sussex Audiology Centre

Sussex Audiology Centre is an independent, family-run audiology practice providing high-quality hearing and audiological care across Sussex.

As our organisation continues to grow, we are looking for an experienced, highly capable Operations Assistant to work directly with our Operations Director and help support the smooth running and continued development of the business.

We are looking for someone who is proactive, forward-thinking and dynamic; someone who enjoys taking ownership, solving problems and making things happen.

You'll work closely with the Operations Director across multiple areas of the business and will be trusted to manage responsibilities and projects with a high degree of autonomy.

We want someone who can spot when something needs attention, investigate the options, recommend a solution and, where appropriate, get on with implementing it.

The Role

As Sussex Audiology Centre continues to grow, the Operations Director's role is becoming increasingly focused on leadership, business performance, team development, marketing, growth and the future direction of the organisation.

The Operations Director retains overall responsibility for the operational performance of the business, including our clinics, teams, HR, recruitment, health & safety, systems and operational standards.

As Operations Assistant, you'll provide the additional capacity needed to support these areas and help turn operational priorities into action.

You'll be given genuine responsibility and will be expected to take ownership of delegated areas rather than simply waiting for tasks to be assigned.

What You'll Be Doing

This is a varied role and no two weeks are likely to look exactly the same. Your responsibilities will include:

  • Supporting the smooth day-to-day operation of our clinics
  • Helping maintain consistent operational standards across our locations
  • Coordinating health & safety requirements, including risk assessments, fire safety, documentation and associated actions
  • Managing staff eLearning and mandatory training records
  • Supporting recruitment, onboarding, inductions and routine HR processes
  • Developing and maintaining staff manuals, clinic procedures, SOPs and operational documentation
  • Supporting stock management, purchasing, equipment and supplier relationships
  • Providing first-line support for straightforward IT and systems issues and coordinating external support when required
  • Taking ownership of operational projects from initial brief through to completion
  • Working with our Marketing team to organise Lunch & Listen events, open days, exhibitions and community activities
  • Attending selected networking and Chamber of Commerce events and representing Sussex Audiology Centre
  • Developing relationships with local businesses, healthcare professionals and community organisations
  • Identifying opportunities for partnerships, referrals and increased awareness of SAC
  • Coordinating contractors, maintenance and other clinic requirements
  • Monitoring agreed actions and ensuring projects and tasks continue to move forward
  • Identifying opportunities to improve systems, processes and ways of working

Who We're Looking For

We're looking for someone with previous experience in an operations, business support, project coordination, office management or similar role who is ready to take on a broad and responsible position.

You'll need to be highly organised, confident and comfortable working independently.

You won't be expected to know everything from day one, and you'll work closely with the Operations Director while learning the business. However, once established in the role, you should not require continual direction or supervision.

About You

You'll be:

  • Proactive, self-motivated and able to use your initiative
  • Highly organised and able to manage multiple priorities
  • Confident working independently and taking ownership of tasks
  • Practical and solutions-focused, with strong problem-solving skills
  • A confident, professional and approachable communicator
  • Comfortable working with colleagues, suppliers, contractors and external organisations
  • Confident with technology and willing to learn new systems
  • Reliable and committed to seeing tasks and projects through to completion

Skills & Experience

Previous experience within operations, business support, project coordination, office management or a similar position is required.

You'll also need:

  • Strong organisational and time-management skills
  • Excellent written and verbal communication skills
  • Strong problem-solving ability
  • Good general IT skills, including Microsoft Office
  • Experience managing multiple priorities and deadlines
  • Experience coordinating projects or operational activities
  • Confidence working independently and making appropriate decisions
  • The ability to handle confidential information professionally

The role will involve travel between Sussex Audiology Centre locations as required, as well as occasional attendance at external meetings, networking opportunities and events. Full driving licence and personal car essential.

If you're highly organised, naturally proactive and enjoy being the person who gets things done, we'd love to hear from you.
