What they need

Ledyard Law is looking for a smart, motivated, and hardworking individual to join our growing team as an Operations Assistant.

Over the past four years, our firm has grown revenue by approximately 300%. We're now investing in the people, processes, and technology needed to support our continued growth. We're looking for someone who wants to help build that foundation.

This is a unique entry-level opportunity that combines business operations, artificial intelligence, process improvement, and hands-on legal work. You will work directly with firm leadership to develop better systems, implement new technologies, and help our team work more efficiently. You will also support our Pre-Litigation Department in managing personal injury cases and helping clients move toward resolution.

Our objective is simple: Spend less time on repetitive administrative tasks, move cases forward more efficiently, and dedicate more time and attention to our clients.

We are not looking for someone who already knows how to run a law firm, build AI systems, or manage personal injury cases. .

You will have the opportunity to learn how a growing law firm operates, work alongside experienced professionals, and help create systems and tools that the entire team will use.

**IMPORTANT: TO APPLY**

You will be evaluated and vetted based on your ability to follow instructions.

Do not apply through this posting or contact information on our website. If you do, you will not be considered and will be disqualified.

TO APPLY: Call us at 410-559-9494 and follow the instructions given.

Primary Responsibilities: Operations & Special Projects (Approximately 70%)

The primary focus of this position will be supporting the Operations Manager and Firm Owner in improving how our firm operates. You will help develop, implement, and refine the processes and technologies that allow our team to work more efficiently.

  • Develop, document, and regularly improve Standard Operating Procedures (SOPs) for the firm's departments, including firm's internal knowledge base and training resources.
  • Work with team members to understand existing workflows, identify inefficiencies, and document best practices.
  • Assist with introducing new procedures and training employees on updated processes.
  • Help develop, test, deploy, and improve AI-powered workflows and AI skills within Clio (our case management software).
  • Test AI-generated outputs, identify errors or areas for improvement, and help refine tools to ensure they operate reliably.
  • Work with staff to understand how AI tools can support their responsibilities and help introduce those tools into existing workflows.
  • Research and experiment with emerging technologies that could improve efficiency, accuracy, and client service.

Special Projects & Operational Improvements

  • Support the Operations Manager and Firm Owner with projects related to the firm's continued growth, helping to turn operational ideas into practical, repeatable processes.
  • Track the implementation and effectiveness of new systems and procedures.
  • Work toward delivering meaningful process improvements each quarter that save employees time and improve the firm's capacity to handle cases.

No coding experience is required, but you should be comfortable with technology and learning new tools. We will provide training on our existing systems and tools.

Secondary Responsibilities: Pre-Litigation Support (Approximately 30%)

In addition to operational projects, you will support our Pre-Litigation Department with the work necessary to move personal injury cases toward settlement. Responsibilities will include:

  • Assist with opening and setting up new client matters in Clio Manage (our case management tool), including working to establish insurance claims and communicate with insurance carriers.
  • Request medical records, billing statements, and other supporting documentation from healthcare providers and third parties, including following up by phone and email.
  • Communicate professionally with clients, healthcare providers, insurance representatives, and other stakeholders.

This work will give you practical exposure to the personal injury legal process while directly supporting our team's ability to move cases forward and deliver excellent client service.

Who We Are Looking For

We value attitude, intelligence, effort, and the ability to learn more than previous experience. The ideal candidate will demonstrate:

  • Strong work ethic: You take pride in your work, show up prepared, and are willing to put in the effort necessary to do things well.
  • Intellectual curiosity: You enjoy learning new skills, figuring out how things work, and solving problems.
  • Attention to detail: You recognize that accuracy matters, particularly when dealing with client information and legal documents.
  • Adaptability: You are comfortable working in an environment where priorities can change and new processes are being developed.
  • Technology aptitude: You are comfortable using computers, learning software, and experimenting with new technologies.
  • Professional communication: You can communicate clearly, respectfully, and confidently with coworkers, clients, and outside parties.

We are particularly interested in recent graduates and early-career professionals who want meaningful responsibility and an opportunity to develop valuable professional skills.

Is This Role Right for You?

We believe in being upfront about what it takes to succeed here. This position may be a great fit if you enjoy learning new things, solving problems, taking ownership of your work, and being part of a team that is actively building something. But there are also aspects of this role that may not appeal to everyone:

  • We work in person. This is a five-days-per-week office position in downtown Baltimore. Remote and hybrid arrangements are not available.
  • We move quickly. We're a growing small business, and many of our systems and processes are still being built or improved.
  • You will spend time on the phone. Comfortable, professional communication with clients, medical providers, insurance companies, and others is part of the job.
  • You will need to be flexible. Some days will involve developing exciting new technologies; others will involve detailed administrative work and persistent follow-up on records requests. Both are important.
  • You will receive feedback. We believe in coaching, accountability, and continuous improvement.

Benefits:

  • Competitive salary based on experience
  • Eligibility for annual raise and bonus
  • Paid parking at the downtown office
  • Retirement plan with firm matching (eligible at 90 days)
  • Paid time off plan and all Maryland Court holidays off
  • Health, dental, and vision insurance (100% of premiums covered, eligible at 90 days)
  • Funding of Health Savings Account (eligible at 1 year)
  • Room to grow: paid training and skill development opportunities
