What they need

Operations Associate

AK Management Group
Location: New Rochelle, NY
Job Type: Full-Time

About the Role

AK Management Group is looking for a highly organized, motivated, and resourceful Operations Associate to support our growing company and management team.

This is a hands-on role for someone who can help wherever needed, stay on top of open items, follow up consistently, and take ownership of tasks from start to finish.

We are looking for someone who can operate with increasing independence. You may be given an objective rather than step-by-step instructions, and you should be comfortable figuring out the next steps, communicating with the right people, following through, and keeping management updated.

The role will touch many areas of the business, including operations, administration, vendors, employees, projects, documentation, scheduling, research, and general problem-solving.

Responsibilities

Responsibilities may include:

  • Following up on outstanding tasks, projects, documents, payments, appointments, and deadlines
  • Maintaining organized task lists and ensuring items are completed
  • Following up with employees, vendors, contractors, landlords, utility companies, and other third parties
  • Supporting daily operational needs across multiple locations
  • Coordinating projects and communicating between team members
  • Tracking open issues and following through until they are resolved
  • Making phone calls and sending professional emails on behalf of the company
  • Scheduling meetings, inspections, repairs, service calls, and appointments
  • Organizing company documents, invoices, records, contracts, and correspondence
  • Creating and maintaining spreadsheets, trackers, checklists, and reports
  • Researching vendors, services, pricing, properties, and other business needs
  • Assisting with employee onboarding, documentation, scheduling, and coordination
  • Taking notes during meetings and converting discussions into actionable tasks
  • Identifying issues that may require management attention
  • Assisting management with special projects and company initiatives
  • Handling additional operational and administrative responsibilities as needed

What We Are Looking For

The most important qualities for this position are ownership, organization, urgency, reliability, and independence.

The ideal candidate:

  • Does not need constant reminders to complete assignments
  • Naturally follows up when someone has not responded
  • Takes ownership of tasks until they are actually completed
  • Can manage multiple priorities at once
  • Is comfortable figuring things out independently
  • Pays close attention to detail
  • Communicates clearly and professionally
  • Is comfortable making phone calls and speaking with vendors, employees, businesses, and agencies
  • Keeps excellent notes and records
  • Understands the importance of deadlines
  • Can work in a fast-paced environment where priorities change
  • Knows when to handle something independently and when to escalate it
  • Is willing to help wherever needed rather than limiting themselves to a narrow job description

The Type of Person We Want

We are looking for someone who can hear:

“We need to get this handled.”

…and immediately begin thinking about what needs to happen next.

That may mean making calls, gathering information, researching options, coordinating with several people, creating a tracker, scheduling something, or continuing to follow up until the issue is resolved.

You do not need to know everything on day one.

You do need to be willing to learn quickly, take detailed notes, ask smart questions, solve problems, and become increasingly independent as you understand the business.

Qualifications

  • Strong written and verbal communication skills
  • Strong organizational and time-management skills
  • Comfortable using Microsoft Excel and/or Google Sheets
  • Comfortable with email, calendars, shared documents, and task-management systems
  • Comfortable communicating professionally over the phone
  • Ability to manage confidential business information responsibly
  • Ability to work independently while remaining accountable to management
  • Previous experience in operations, administration, office management, property management, retail operations, executive assistance, or a similar role is preferred
  • High school diploma required
  • College degree preferred but not required

What Success Looks Like

As you develop in the role, management should be able to hand you an assignment and trust that you will:

  • Understand the objective
  • Determine the next steps
  • Keep track of the assignment
  • Follow up with the necessary people
  • Solve routine issues independently
  • Escalate important problems when necessary
  • Keep management informed
  • Continue following through until the task is actually completed

The goal is for the Operations Associate to become someone management can rely on to keep things moving without constant supervision.
