Help Turn Financial Plans Into Meaningful Progress
Do you enjoy helping clients, solving problems, and making sure important details are handled correctly? Do you take pride in processing requests accurately, following through, and keeping clients informed?
Empress Investment Group is seeking an experienced Operations Specialist who combines strong financial services knowledge with a passion for supporting clients. Your work will help clients put their financial plans into action—from opening accounts and processing transactions to resolving service requests and ensuring nothing falls through the cracks.
A minimum of three years of relevant financial services operations experience and hands-on experience servicing accounts through Fidelity and/or Schwab are required.
This opportunity is ideal for someone who already understands account servicing, custodian procedures, and the importance of accurate, timely execution—and wants to bring that experience to a collaborative, client-focused firm.
About Empress Investment Group
Empress Investment Group is a women-led financial planning and wealth management firm in Los Angeles. Our mission is to help women and families plan for their future, preserve wealth, and protect their legacy through personalized guidance and financial education.
We believe clients deserve to understand their financial decisions and feel confident about the direction they are taking. Our approach places their interests first and connects financial recommendations to their goals, values, and lives.
Our operations team plays an essential role in fulfilling that mission. Accurate processing, thoughtful communication, and timely follow-through help ensure clients receive the care and support they deserve.
The Opportunity
You will work closely with advisors, operations, and client service team members to support daily account activity and client requests. You will prepare and submit paperwork, track transactions through completion, communicate with clients and financial institutions, and maintain accurate records.
We are looking for someone who can apply their existing Fidelity and/or Schwab experience to manage requests, anticipate common processing issues, and resolve outstanding requirements. We provide training on Empress’ internal systems, procedures, and service standards while helping you expand your knowledge and responsibilities.
What You Will Do
Prepare, review, and submit account applications and client service forms through Fidelity, Schwab, and other financial institutions as applicable.
Process and track account transfers, distributions, contributions, and required minimum distributions (RMDs).
Coordinate beneficiary changes, address updates, allocation changes, and other account maintenance requests.
Review paperwork for accuracy and completeness before submission.
Navigate custodian platforms, identify required forms and supporting documents, and monitor the status of pending requests.
Follow up with custodians, insurance carriers, and other financial institutions to resolve outstanding requirements and bring requests to completion.
Respond to client inquiries about account servicing and provide clear updates on pending requests.
Assist clients with online account access and related service needs.
Coordinate with advisors to obtain necessary instructions and approvals.
Maintain accurate, timely notes, tasks, and client records in Redtail CRM.
Organize client documents and maintain files according to firm procedures.
Prioritize daily responsibilities, monitor deadlines, and communicate promptly when an issue needs attention.
Follow firm policies and established procedures for handling client information and transactions.
Help identify opportunities to improve processes and support a consistent client experience.
Assist with client events and other firm activities as needed.
Required Qualifications
At least three years of relevant financial services operations experience, including account opening, transaction processing, and ongoing account servicing.
Hands-on professional experience servicing accounts through Fidelity and/or Schwab, including using their advisor or institutional platforms to submit and track requests. Experience with at least one of these custodians is required.
Working knowledge of account applications, transfers, distributions, contributions, and account maintenance procedures.
Strong organizational skills and the ability to manage multiple requests and deadlines.
Excellent attention to detail, including accurate data entry and careful review of forms and correspondence.
Clear, professional written and verbal communication skills.
Strong client service skills and a patient, helpful approach to answering questions.
Consistent follow-through and ownership of tasks from initiation through completion.
Ability to follow established procedures, recognize missing information, and ask questions when clarification is needed.
Resourcefulness in resolving issues and knowing when to escalate them.
Proficiency with Microsoft Word, Excel, Outlook, OneDrive, and Adobe Acrobat or similar PDF tools.
Ability to learn new systems, adapt to changing priorities, and work effectively both independently and with a team.
Ability to work in person at our Larchmont office in Los Angeles.
Preferred Qualifications
Experience servicing accounts through both Fidelity and Schwab.
Experience working in a financial advisory or wealth management firm.
Familiarity with insurance carrier platforms and annuity servicing.
Experience using Redtail or another CRM system.
High school diploma or equivalent
Who Will Thrive Here
You enjoy creating order, completing detailed work, and helping others. You understand that a client request is complete when it has been processed, verified, documented, and communicated.
You are proactive about follow-up, comfortable asking questions, and receptive to feedback. You communicate openly with your teammates and stay focused on finding solutions when a request becomes complicated.
Most of all, you care about the people behind the paperwork. You recognize that timely, accurate service can make a meaningful difference when clients are making important financial decisions.
