Job Summary

Position Summary

The Operations Coordinator supports the safe, efficient, and consistent operation of the Bridge to Home Hub by coordinating the physical, logistical, and procedural systems that keep the site running effectively.

This role has a strong focus on building operations, facilities and maintenance, purchasing and inventory, equipment, health and safety, security coordination, operational procedures, and site logistics. The Operations Coordinator identifies operational gaps, develops practical solutions, coordinates implementation, and follows issues through to completion.

This is a non-supervisory position that works collaboratively with leadership and frontline teams.

Key Responsibilities

Building & Facility Operations

  • Coordinate day-to-day building and facility needs to maintain a safe, clean, functional, and well-maintained environment.
  • Identify maintenance, repair, housekeeping, security, and equipment needs and coordinate appropriate follow-up.
  • Coordinate preventative maintenance, contractors, vendors, and service requests.
  • Track recurring facility concerns and identify opportunities for longer-term solutions.

Purchasing, Inventory & Equipment

  • Coordinate routine purchasing of supplies, equipment, and services within approved budgets and processes.
  • Obtain quotes, coordinate orders and deliveries, and maintain effective relationships with vendors.
  • Develop and maintain inventory systems, including appropriate stock levels, storage, distribution, and reorder processes.
  • Monitor usage, shortages, waste, and recurring cost pressures.
  • Track operational equipment and coordinate inspection, maintenance, repair, replacement, and setup.

Operational Procedures & Systems

  • Identify gaps, inefficiencies, and inconsistencies in operational systems and workflows.
  • Develop and update practical SOPs, procedures, checklists, workflows, and operational tools.
  • Support implementation of approved procedures and operational changes.
  • Monitor whether systems are working as intended and recommend improvements where barriers are identified.
  • Maintain clear and accessible operational documentation.

Health, Safety & Security

  • Coordinate routine health and safety inspections, drills, documentation, corrective actions, and follow-up.
  • Support operational readiness for fire safety, emergency response, evacuation, outbreak response, and other site emergencies.
  • Ensure required safety equipment, emergency supplies, signage, and related resources remain available and functional.
  • Coordinate routine operational communication with the external security provider and address facility, access, equipment, and procedural concerns.
  • Track identified risks and corrective actions through to resolution.

Site Logistics & Continuous Improvement

  • Coordinate logistical needs for site activities, program changes, training, contractors, deliveries, and community initiatives.
  • Support room setup, equipment, supplies, access, and other physical requirements.
  • Maintain awareness of outstanding operational issues and ensure appropriate follow-up.
  • Monitor recurring operational challenges and identify opportunities to improve procedures, equipment, resources, workflows, or physical systems.
  • Provide operational recommendations to the Staffing, Standards and Programs Manager and support approved improvements through implementation.

Role Boundaries

The Operations Coordinator does not:

  • Supervise frontline staff or Shift Supervisors.
  • Conduct employee performance management, corrective action, or formal staff development.
  • Approve time off or make employee scheduling decisions.
  • Replace the Shift Supervisor as the frontline leadership or escalation role.

Where an operational concern involves employee behaviour or failure to follow an established expectation, the Operations Coordinator identifies and communicates the concern to the appropriate Shift Supervisor or Staffing, Standards and Programs Manager for follow-up.

Qualifications & Experience

Working Conditions

  • Regular on-site presence and movement throughout the Bridge to Home Hub.
  • Work within a fast-paced, 24/7 shelter environment.
  • Regular interaction with contractors, vendors, security providers, staff, and guests.
