What they need

Operations Coordinator

Reports to: Miranda, National Operations Manager

Scope: Operational coordination across Yomi stores

Purpose of the role:

  • Keep Yomi’s stock, purchasing and operational administration organised, accurate and running smoothly across stores.
  • Support Miranda and the store teams with reliable processes, and proactively identify practical ways to save time, reduce waste and improve efficiency while maintaining product quality and customer service.

Key responsibilities

Stock control and ordering

  • Coordinate stock ordering and delivery schedules with store managers, taking account of sales, seasonal demand, storage capacity and supplier lead times.
  • Maintain stock records and agreed minimum and maximum stock levels; coordinate regular stocktakes and follow up discrepancies.
  • Monitor usage, wastage and expiry dates, flag shortages or excess stock early, and help arrange transfers between stores where appropriate.
  • Track orders and deliveries, resolve shortages or damaged goods with suppliers, and follow up credits.

Purchasing

  • Source ingredients, packaging, consumables and equipment from approved suppliers, and arrange purchases within agreed budgets and authority.
  • Compare quotes, pricing, freight, quality and delivery terms; recommend better-value options to Miranda.
  • Maintain supplier contacts, product lists, pricing and account information, and flag price changes or supply issues.
  • Support consistent purchasing across stores and coordinate supplies for new store openings as required.

Operational administration

  • Prepare supplier credit applications and account forms, obtaining approval and authorised signatures where required.
  • Maintain induction manuals, policies, procedures and store checklists, coordinating updates with Miranda and the relevant team members.
  • Keep current, approved documents easy to find, remove outdated versions from use, and communicate updates to store teams.
  • Maintain clear purchasing records and action trackers, follow up outstanding tasks, and provide practical administrative support to Miranda. Efficiency and continuous improvement
  • Review stock usage, purchasing costs, workflows and roster patterns to identify opportunities to save time, reduce waste and control costs.
  • Compare staffing levels and labour hours against sales and trading patterns, and highlight opportunities for Miranda and store managers to review.
  • Present practical recommendations with the expected benefit, cost and impact on store operations; help implement approved changes and track results.
  • Share effective processes between stores and provide Miranda with concise updates on issues, priorities and improvement opportunities.

Working relationships and decision making

  • Work closely with Miranda, store managers, team leaders, suppliers and the relevant finance, HR and food safety contacts.
  • Manage routine coordination independently within agreed processes and spending limits.
  • Miranda sets priorities and approves significant changes to suppliers, expenditure, policies and operating processes. Roster recommendations are reviewed with Miranda and store managers before implementation.

Skills and experience

  • Experience in operations coordination, purchasing, stock control or administration, ideally in hospitality, retail or a business with multiple sites.
  • Strong organisation, attention to detail and follow-through, with confidence using spreadsheets and learning stock, POS and rostering systems.
  • Clear communication, sound judgement and a practical approach to problem-solving; comfortable working with numbers and suggesting improvements.

What success looks like

Orders are accurate and on time; stock shortages and avoidable waste are reduced; purchasing records and operational documents are current; and store teams receive reliable support.

Agreed improvements deliver measurable savings or better ways of working without compromising service or quality. Specific priorities and measures will be agreed with Miranda.
