Job Description: Operations Coordinator
OPERATIONS COORDINATOR
at AtlasBrands | Remote - Worldwide
About AtlasBrands
We’re building and scaling high-velocity DTC brands. In just a few months, we scaled from $0 to $3M MRR and from a team of 3 to a team of ~30. We’re now pushing toward 9 figures — and building a world-class team of A+ talent that can support, sustain, and accelerate that level of growth. At this stage, growth is no longer just about products or marketing. It’s about people. The next phase of this company will be defined by who we bring in — the quality of talent, the speed at which we hire, and the systems we build around it.
Role Objective
We are seeking a highly organized, proactive Operations Coordinator to serve as the direct right hand to our Head of Operations & Finance. In this role, you will act as the operational glue that keeps our logistics, supply chain, back-office finance, and legal documentation running flawlessly.
This position requires a rare blend of extreme attention to detail and radical resourcefulness. You will own the follow-through on complex workflows, ensuring data never slips through the cracks and tasks keep moving seamlessly across international vendors and cross-functional teams.
What You’ll Do
- Supply Chain & Logistics Execution: Stay entirely on top of high-volume order fulfillment, global shipments, and proactive inventory follow-ups. Own daily communications with our suppliers and third-party fulfillment (3PL) partners to guarantee seamless operational loops.
- Finance & Payroll Support: Administer critical back-office operations including tracking vendor invoices, reconciling operational expenses, and preparing payroll or vendor payments for final executive approval.
- Legal Coordination & Compliance: Serve as the internal traffic controller for legal workflows. Coordinate contract routing, secure digital signatures, organize corporate documentation, and manage ongoing follow-ups with our external legal counsel.
- Data Architecture & Tracker Governance: Build, optimize, and ruthlessly maintain project trackers. Ensure data integrity across multiple systems so that leadership has absolute visibility into inventory, timelines, and legal statuses.
- Independent Problem Solving: Act as an internal investigator. When a shipment delays or an invoice mismatches, you will independently research the root cause, propose practical solutions, and see the fix through to completion with minimal oversight.
Required Skills and Qualifications
- Experience: Proven track record in an operations, logistics, or project coordination role—ideally within a fast-moving e-commerce or startup environment.
- Data & Technical Tools: High proficiency in Excel/Google Sheets. You must be entirely comfortable working with complex formulas, large datasets, and rigorous data reconciliations.
- Execution & Follow-Through: Elite organizational skills. A natural ability to manage multiple moving parts simultaneously without losing momentum or dropping details.
- Communication & Drive: Exceptional written and verbal English communication. You are a proactive, zero-friction communicator who knows how to get answers from global vendors and internal team members alike.
- Mindset: A resourceful "finder of answers." You don't just point out operational roadblocks—you dig into the details, suggest structural solutions, and take pride in total ownership.
Working Hours & Culture
- Role Timeline: Full-time hire (~40 hours per week).
- Async-First: Global, remote-first team setup requiring core daily overlap with US EST business hours for team syncs and cross-functional alignment. For offshore hires, you must be willing to overlap at least 4+ EST hours (between 9am–5pm EST).
How to Apply & What to Expect
At AtlasBrands, we value your time and expertise, which is why we’ve built a streamlined, highly transparent interview process designed to look for a true partner rather than a transactional contributor.
Here is exactly how our application workflow operates through our platform:
- Step 1: Submit Your CV Click the "Apply Now" button below to submit your CV along with a brief overview of the operational systems or inventory trackers you have managed.
- Step 2: Initial Screening & Video Intro Our recruiting team will conduct a brief initial screening call to evaluate your communication style, structural organization frameworks, and problem-solving agility.
- Step 3: Paid Assessment Complete a paid operational or data assessment that the hiring team will use to assess core skills and determine final steps.
- Step 4: The 45-Minute Strategic Deep Dive Selected candidates will join two members of our leadership team for 45-minute conversational interviews.
No third party or agency submissions will be accepted.
