About the Opportunity
Waterproof Lab is seeking an experienced, highly organised and results-driven Operations Coordinator to oversee and coordinate the day-to-day operational activities of our growing waterproofing and construction business.
This is a hands-on, fast-paced position requiring an individual with proven experience in operations coordination within the construction industry, strong leadership and organisational abilities, and a thorough understanding of stock control, warehouse operations, fleet management, project coordination and job costing.
The successful candidate will play a key role in ensuring our installation teams, warehouse, stock, vehicles and operational resources function efficiently, while maintaining accurate project costing, operational reporting and compliance with company procedures.
We are looking for someone who takes ownership, anticipates operational challenges and implements practical solutions rather than waiting for instructions.
Key Responsibilities
1. Operations & Project Coordination
- Oversee and coordinate daily operational activities across the business.
- Coordinate and monitor waterproofing installation teams to ensure projects run efficiently and according to schedule.
- Ensure installation teams have the necessary materials, equipment, resources and project information before commencing work.
- Liaise with management, warehouse personnel, suppliers and administrative departments to maintain operational efficiency.
- Identify operational challenges, resolve issues proactively and minimise project delays.
- Conduct site visits and operational inspections when required.
2. Warehouse & Stock Management
- Work closely with the Warehouse Manager to maintain effective stock control and warehouse operations.
- Ensure all materials and equipment required for upcoming projects are picked, packed and securely allocated to designated cages at least one week before commencement.
- Monitor minimum stock levels, stock consumption and replenishment requirements to prevent shortages and unnecessary overstocking.
- Coordinate weekly and monthly stock takes, investigate discrepancies and ensure accurate inventory records.
- Oversee the coordination of stock receiving, dispatching, material movement and warehouse housekeeping.
- Ensure stock is correctly allocated to projects and that material wastage and losses are minimised.
3. Job Costing & Project Profitability
- Prepare and maintain accurate job costing records for all waterproofing projects.
- Track labour, materials, transport, subcontractor expenses and other project-related costs.
- Monitor actual project expenditure against quoted costs and budgets.
- Identify cost variances, potential overruns, excessive material usage and opportunities to improve profitability.
- Ensure all project-related expenses are accurately captured and communicated to the Finance Department.
- Prepare comprehensive project close-out reports detailing actual costs, materials used, labour expenditure, cost variances and overall project performance.
- Submit regular job costing and profitability reports to the General Manager and Finance Manager.
4. Fleet & Equipment Management
- Coordinate company vehicle allocation, servicing, maintenance, licensing and compliance.
- Monitor vehicle condition, usage and operational readiness.
- Ensure company equipment, tools and vehicles are properly maintained and accounted for.
- Coordinate repairs, maintenance requirements and preventative servicing.
- Monitor fleet-related expenditure and identify unnecessary costs.
5. Health, Safety & Compliance
- Coordinate and monitor compliance with company health and safety policies and construction site requirements.
- Ensure operational teams adhere to established safety procedures and company standards.
- Assist with maintaining relevant safety documentation, equipment checks and operational compliance records.
- Identify and report safety risks, operational non-compliance and areas requiring corrective action.
6. Administration, Reporting & Cost Control
- Maintain accurate operational, stock, fleet and project documentation.
- Work closely with the Admin and Finance Departments on purchasing, invoicing, job costing, stock discrepancies and operational expenditure.
- Prepare regular operational performance updates and reports for senior management.
- Monitor operational expenses and implement measures to improve efficiency and control costs.
- Support the General Manager with operational improvements, projects and business initiatives.
Minimum Requirements – Compulsory
Applicants must meet ALL the following requirements to be considered:

- Good numerical skills and an understanding of operational cost control.
- Computer literacy, particularly Microsoft Excel and operational reporting systems.
- Excellent communication skills and the ability to work effectively with both site teams and senior management.
- Ability to work independently, manage competing priorities and perform under pressure.
- Willingness to work in a hands-on operational environment and travel between construction sites, suppliers and the warehouse when required.
