What they need
Helping Our Workplace Run at Its Best
Are you someone who enjoys staying organized, solving problems, and making sure the little details never get overlooked? Do you like variety in your day and being the person others can count on to get things done? If so, we’d love to meet you!
We’re looking for an Operations Coordinator to help keep our corporate office running smoothly, efficiently, and professionally. In this hands-on, team-oriented role, you’ll work closely with our Operations, Safety, Facilities, IT, Executive Support, and Reception teams to support daily office needs and help create a clean, organized, welcoming environment for employees and visitors alike.
From preparing meeting spaces and coordinating office services to assisting with basic technology needs and supporting special projects, you’ll play an important role in keeping our workplace ready for whatever the day brings. You’ll also provide administrative support to the Safety Department and step in to assist other team members whenever an extra set of hands is needed.
What You’ll Do
Keep Our Office Running Smoothly
- Help coordinate office cleaning schedules and service providers, ensuring our workplace stays clean, organized, and welcoming.
- Monitor office conditions, identify areas that need attention, and follow up on maintenance or service concerns.
- Keep common areas organized, supplies stocked, and workspaces ready for daily use.
- Assist with office access, badges, keys, and visitor arrangements as needed.
Help Meetings and Events Come Together
- Set up, break down, and reset conference rooms and meeting spaces.
- Assist with meetings, trainings, and company events by coordinating room layouts, signage, catering, and other logistics.
- Work with executive support and event coordinators to ensure everything is prepared and running smoothly.
Lend a Hand with Technology
- Assist with basic technology needs, including workstation setup, monitor connections, peripherals, and conference room equipment.
- Help prepare equipment for new team members and collect equipment during employee departures.
- Troubleshoot simple technology issues and partner with the IT team when additional support is needed.
- Help track and organize IT equipment and accessories.
Provide Administrative and Team Support
- Support day-to-day administrative needs across the Operations Team, including scheduling, coordination, documentation, and special projects.
- Assist the Safety Department with administrative tasks and other departmental needs.
- Coordinate with Facilities, Executive Support, Reception, IT, and outside vendors to keep daily operations moving forward.
- Maintain schedules, records, and tracking documents related to office services, meetings, and operational activities.
- Provide backup reception coverage as needed, including answering phones, greeting visitors, and helping create a positive first impression.
- Be ready to jump in wherever support is needed to help the team succeed.
What You’ll Bring
- A high school diploma or equivalent; additional education or training in business, operations, or technology is a plus.
- Experience in office operations, administrative support, facilities coordination, or a similar role.
- Strong organizational skills and the ability to manage multiple tasks and shifting priorities.
- Solid computer skills, including Microsoft Excel, Word, PowerPoint, and Outlook.
- Comfort working with everyday office technology and an interest in learning new systems and troubleshooting basic issues.
- Strong communication skills and a friendly, professional approach when working with employees, visitors, and vendors.
- A hands-on, service-minded attitude and an eye for detail.
- The ability to take initiative, work independently, and collaborate with others.
- Flexibility, dependability, and a willingness to pitch in wherever help is needed.
What Makes This Role Special?
No two days will be exactly alike! This role is ideal for someone who enjoys being involved in different aspects of the business, working with a variety of teams, and seeing the direct impact of their efforts. You’ll have the opportunity to build new skills, contribute to projects across multiple departments, and help create a workplace where people can do their best work.
We’re looking for more than someone who checks off a to-do list. We want a proactive team player who notices what needs to be done, follows through, and takes pride in making things better for everyone.
If you’re organized, adaptable, enjoy helping others, and love being the go-to person who keeps things moving, we’d love to have you join our team!
