The role

You'll be the bridge between our sales and design team and the shop floor. Reporting to our GM Operations and working closely with our Production Lead, you'll keep sold jobs on track from handoff to delivery — checking in materials, running QC on finished work, and keeping inventory and purchasing records accurate. Just as important, you'll be the day-to-day link to our Mandarin-speaking production staff, making sure job details, changes, and quality issues are clearly understood on both sides. You'll also work with customers, contractors, and vendors, mostly in English. You won't be building product, but you'll know the shop well enough to spot when something's off.

Sales operations

• Receive each sold job from the sales and design team and check the production package is complete (dimensions, finishes, hardware) before it goes to the floor
• Be the go-to contact for the sales and design team, knowing order status, production timelines, and delivery or install scheduling
• Keep job records and customer notes current in our CRM and project tools
• Flag schedule changes or delays to customers and the sales team early
• Coordinate punch-list and warranty follow-up with production

Receiving, QC & production support

• Receiving: check in deliveries against POs, inspect sheet goods, hardware, and finishes for damage and spec, and log discrepancies with vendors
• Quality control: run QC checks on cabinet boxes, doors, and finishes against job specs before packing and shipping; document issues and pass them to the Production Lead
• Inventory: maintain stock levels and locations, run scheduled cycle counts, and keep the system of record (QuickBooks or similar) accurate
• Purchasing support: prepare POs for approval, request vendor quotes, track lead times and deliveries, and follow up with suppliers
• Production communication: relay job details and customer changes to the production team, track job milestones, and flag material shortages or delays to the GM Operations and Production Lead
• Follow shop safety rules when on the floor and help keep receiving and QC areas organized

Required

• Fluent spoken and written Mandarin and English
• Strong attention to detail, especially with measurements, specs, and paperwork; willing to learn to read shop drawings and cut lists
• Organized across many open jobs at once, with clear follow-through
• Comfortable with SaaS tools (Google Workspace, ClickUp, QuickBooks, or similar) and spreadsheets
• Comfortable spending part of the day on a shop floor; able to occasionally lift up to 50 lbs when checking in deliveries

Preferred

• 2+ years in an office, operations, customer service, or coordination role
• Experience in a manufacturing, warehouse, or production environment
• Mechanically inclined; familiarity with CNC or fabrication
• Receiving, QC/inspection, inventory-control, or purchasing experience; familiarity with ERP/MRP systems
• Customer service or project-coordination experience (HubSpot or similar CRM)
• Comfortability using AI tools (such as ChatGPT, Claude, or similar) to draft communications, organize information, and speed up everyday work

• 与生产部门协调收尾整改（punch list）及保修跟进事项

收货、质检与生产支持

• 收货： 根据采购订单（PO）核对到货，检查板材、五金及饰面是否有损坏或不符合规格，并向供应商记录和反馈差异
• 质量控制： 在包装和发货前，按项目规格对柜体、门板及饰面进行质量检查；记录问题并反馈给生产主管
• 库存管理： 维护库存水平和存放位置，定期执行循环盘点，确保系统记录（QuickBooks或类似系统）准确
• 采购支持： 准备待审批的采购订单，向供应商询价，跟踪交货周期和到货情况，并与供应商跟进沟通
• 生产沟通： 向生产团队传达项目细节及客户变更，跟踪项目节点，并向运营总经理和生产主管反馈物料短缺或延误情况
• 在车间时遵守安全规定，协助保持收货区和质检区整洁有序

任职要求

• 普通话和英语口语及书面表达流利
• 高度注重细节，尤其是尺寸、规格和单据方面；愿意学习看懂车间图纸和下料单
• 能同时跟进多个项目，条理清晰，执行到位
• 熟练使用SaaS工具（Google Workspace、ClickUp、QuickBooks或类似软件）及电子表格
• 能接受部分时间在车间工作；验收货物时偶尔需搬运最重50磅（约23公斤）的物品
