What they need
Operations Coordinator & Scheduler
Furnishings Installation Specialists (FIS) | Kansas City, MO
Full-Time | On-Site
About FIS
Furnishings Installation Specialists (FIS) provides professional furniture installation, warehousing, delivery, movable wall installation, service, and related support for commercial furniture projects throughout the Kansas City region and beyond.
We're building a growing installation company around a simple idea: great field execution requires great operational support behind it. As FIS continues to grow, we're looking for an organized, proactive Operations Coordinator & Scheduler who can help create the structure, visibility, and coordination our field teams need to succeed.
The Opportunity
If you're the person who naturally keeps track of the moving pieces, notices potential problems before they become emergencies, and enjoys turning a complicated schedule into an organized plan, this may be a great fit.
The Operations Coordinator & Scheduler serves as the central coordination point for FIS operations, helping ensure the right people, information, equipment, vehicles, and resources are in the right place at the right time.
You'll work closely with our General Manager, Field Operations Supervisor, Warehouse Coordinator, Lead Installers, field personnel, customers, and other project stakeholders. You'll maintain our master installation schedule and operating system, coordinate project resources and logistics, help ensure projects are ready before crews mobilize, validate payroll information, support job closeout and job costing, and help keep the entire operation moving.
This is not simply an administrative position. We're looking for someone who takes ownership, thinks ahead, communicates well, solves problems, and enjoys being the person others can rely on for accurate information and follow-through.
What You'll Do
- Maintain and coordinate the master installation schedule, including projects, crews, Lead Installers, and field personnel.
- Coordinate temporary labor, company vehicles, rental trucks, equipment rentals, lodging, tools, hardware, and other project resources.
- Anticipate scheduling conflicts and resource constraints and work proactively with operations leadership to resolve them.
- Make sure project information, documentation, access requirements, timing, and other logistical details are complete before crews mobilize.
- Maintain accurate and timely project information in FIS's operating system and help ensure standardized workflows are followed.
- Coordinate project status, job closeout, job-costing inputs, time validation, and operational reporting.
- Validate employee hours accurately and on time for payroll and ensure labor is assigned to the appropriate projects.
- Help investigate missing or questionable time and project information.
- Coordinate DOT compliance requirements associated with FIS vehicles and drivers.
- Identify problems early, communicate clearly, and escalate issues when additional authority or support is needed.
What We're Looking For
Someone with the right combination of organization, judgment, initiative, and follow-through.
A strong candidate will:
- Be highly organized and comfortable managing multiple priorities at the same time.
- Naturally think ahead and anticipate what information or resources will be needed next.
- Be detail-oriented without losing sight of the bigger operational picture.
- Communicate clearly and professionally with field employees, managers, customers, vendors, and other stakeholders.
- Be comfortable following up, asking questions, and respectfully holding others accountable for information or action needed.
- Know when to solve a problem independently and when to ask for help or escalate it.
- Be comfortable learning and becoming proficient in operational software and systems.
- Work accurately with schedules, time records, project information, and other details that affect payroll and job costing.
- Remain calm and solutions-oriented when plans change.
- Take ownership of responsibilities and follow issues through to resolution.
- Enjoy working as part of a team where communication, accountability, and continuous improvement matter.
Experience in scheduling, logistics, project coordination, construction, commercial furniture, warehousing, field service, installation, distribution, or another operations-focused environment is helpful, but commercial furniture experience is not required.
What Success Looks Like
A successful Operations Coordinator & Scheduler creates order, visibility, and predictability.
Our field teams know where they need to be, when they need to be there, what they're doing, and what resources they need. Management can trust the information in our systems. Payroll and job costing are accurate. Completed projects move through closeout promptly. And potential problems are identified before they become emergencies.
Ultimately, this position helps FIS grow without relying on constant firefighting.
Why FIS
FIS is a growing company where this position will have a meaningful impact on how the business operates. You'll work closely with experienced industry leaders while helping us continue to build the systems, processes, and operational discipline needed for our next stage of growth.
We're looking for someone who wants more than a task list, someone who wants to understand how the operation works, take ownership of an important part of it, and grow along with the company.
Compensation: $50,000–$60,000 annually, based on relevant experience and demonstrated competency. Annual performance bonus opportunity.
Benefits include 100% employer-paid medical, dental and vision insurance and a 401(k) plan with employer match up to 4%.
