What they need
Overview
We are seeking a dynamic and strategic Operations Director to lead and optimize the overall operational functions of our organization. This pivotal role involves steering business management initiatives, driving operational excellence, and fostering a high-performance team environment. As an energetic leader, you will shape strategic plans, oversee financial performance, and implement process improvements that propel the company toward sustained growth and success. Your expertise in management, project coordination, and data-driven decision making will be essential in delivering exceptional operational results.
Reporting to the CEO and managing the Admin Assistant and Senior Operations Manager, you'll steward the finances, the systems, and the people processes that let leadership focus on clients rather than the mechanics behind the scenes.
To be successful in this role, you have 15+ years of experience managing operations within a creative or professional services firm. This includes overseeing the Finance, HR, and Operations functions. Responsibilities include recruiting and developing team members, owning financial and operational reporting, and partnering closely with the CEO and Project Director.
Operations Leadership
- Own vendor and systems relationships across the firm and manage the Admin Assistant and Senior Operations Manager, providing day-to-day oversight and professional development.
- Own our technology stack ensuring tools are used consistently across departments.
- Build and maintain a cross-functional KPI dashboard that gives leadership one reliable view of performance across departments.
- Oversee office and lease management and lead business continuity planning and basic data security practices.
- Establish and/or maintain standard operating procedures across departments, and lead the preparation and delivery of quarterly business reviews.
Financial Oversight
- Own the finance process from weekly to annually including cash flow, A/R&P and budget process, including development, tracking, and variance management to deliver current, reliable financial reporting at leadership meetings.
- Manage our outsourced bookkeeping and accounting relationship, resolving day-to-day questions before they reach the CEO, administer payroll in partnership with the bookkeeper, and lead the annual audit.
- Oversee the review and renewal of insurance coverage, including liability, E&O, and workers' compensation.
HR & Team Leadership
- Administer the company's performance review process, and lead staff development and mentorship across the team.
- Serve as the first point of contact for day-to-day employee relations, escalating sensitive matters as needed to the CEO and/or our external HR support.
- Maintain goal tracking, own exit interview and turnover tracking practices.
- Conduct competitive compensation analysis to support the CEO's annual compensation review, and plan quarterly workforce and headcount needs with the Project Director, tied to revenue forecasts.
- Own recruiting and onboarding for new team members, and administer employee benefits.
What Success Looks Like
- Leadership has a reliable, current view of the business's financial and operational health at all times.
- The performance review and staff development process runs on a predictable, well-communicated cycle.
- HR, finance, and operations work together cleanly, with clear ownership and nothing falling through the cracks.
- The CEO has a true operational partner in this role, not just an execution layer.
What You Bring
- A demonstrated track record of strengthening financial and operational systems while building talent capacity.
- Comfort managing direct reports.
- Strong financial literacy, with experience owning a budget and translating numbers into clear reporting for leadership.
- Hands-on experience with tools like Gusto, QuickBooks, Asana, and Trainual; familiarity with EOS is a plus, not a requirement.
- High standards of organization, with strong customer service skills.
- A positive, solutions-focused attitude and a drive for success.
- Enjoys contributing to team collaboration while taking ownership of their work and pride in delivering high-quality results.
Pay: $130,000.00 - $160,000.00 per year
