Operations Executive (Procurement, Process Improvement )

About the role

This role owns inventory system stock, purchase, and BOM modules with responsibility for monthly stock accuracy, BMR issuance, GRN processing, and inventory reconciliation. You will manage supply chain and procurement functions including MRP calculations, reorder points, supplier quotations, purchase orders, delivery scheduling, and supplier qualification audits. You will drive automation and digitalization initiatives by independently learning and implementing automation tools, digitalizing manual processes, and building tracking systems and dashboards. You will identify operational bottlenecks and propose practical process improvements, while establishing ESG baseline metrics, responding to customer compliance data requests, and organizing compliance documentation.

Key responsibilities

• Own Inventory System Stock, Purchase, and BOM modules: daily stock counts, BMR issuance, GRN processing, inventory reconciliation
• Establish accurate BOMs reflecting actual scrap yields; ensure physical-to-system stock accuracy on an ongoing basis
• Calculate MRP and reorder points for raw materials and packaging to prevent production stoppages
• Manage supplier quotations, purchase orders, delivery scheduling, and follow-ups; proactively source alternative raw materials and manage import shipping clearance
• Conduct supplier qualification and periodic supplier audits covering GMP, HACCP, and Halal status
• Collect and maintain supplier documents: Certificates of Analysis (COA), Safety Data Sheets (SDS), Halal certificates, and ESG/sustainability declarations
• Independently learn, evaluate, and implement automation tools and digitalize manual processes to reduce paper workflows
• Build tracking systems and dashboards for data transparency and drive IT digitalization initiatives
• Identify operational bottlenecks across purchasing, inventory, production coordination, and supply chain; propose practical process improvements
• Establish ESG baseline metrics: monthly electricity and water consumption, waste streams, and PPE/safety observations

About you

• Bachelor's Degree or Diploma in Operations, Supply Chain, Engineering, Business, or Food Technology, or equivalent 2–5 years hands-on manufacturing experience
• 2–5 years of operational experience in a manufacturing plant (food, FMCG, or Nutraceutical preferred)
• Problem-solver mindset: independent thinking, root-cause analysis, practical solutions
• Tech-literate and self-learning: comfortable with automation tools, AI, and Google Workspace; willing to learn AutoCount under guidance
• Fluency in English and Bahasa Malaysia (written and spoken)
• Proficiency in Google Workspace (Drive, Sheets, Docs, Forms)
• Strong interpersonal and cross-departmental collaboration skills
