Operations Executive, Sea Freight (Import / Export) - Immediate Hiring!

• Handle end-to-end Sea Freight Export/Import operations, including enquiries, bookings, shipment coordination, documentation, customs/permit requirements, billing, and shipment follow-up.
• Respond promptly to enquiries, booking requests, and documentation requests from internal and external stakeholders via email, telephone, or other communication channels.
• Register and update shipment information accurately and timely in the forwarding system, CW1, in accordance with company SOPs and compliance requirements.
• Coordinate closely with customers, shipping lines, shipping agents, subcontractors, freight forwarders, overseas offices, and other relevant stakeholders throughout the shipment process.
• Prepare, verify, and process shipping documentation, including Bill of Lading, Master Bill of Lading, shipping certificates, advance manifests, SOLAS/VGM submissions, cartage advice, and other related documents.
• Ensure all forwarding and shipping documents are complete, accurate, and submitted within the required timeline.
• Coordinate and monitor dangerous goods or hazardous cargo shipments, ensuring all required documentation and carrier approvals are obtained.
• Liaise with permit declaration vendors and monitor permit declaration activities where required.
• Proactively follow up on shipment status, resolve operational issues, and escalate any processing impediments or irregularities to the reporting manager.
• Handle shipment irregularities and cargo-related incidents, including short shipments, damaged cargo, misrouted shipments, and missed vessel departures.
• Communicate shipment incidents and updates to customers, customer service teams, brokerage houses, and relevant stakeholders.
• Ensure compliance with customer-specific SOPs, global standard processes, corporate policies, and governance requirements.
• Prepare and send pre-alerts to customers and destination offices upon vessel departure.
• Initiate and follow up on cargo and insurance claims involving damaged or missing cargo with customers, surveyors, and overseas offices.
• Liaise with local and regional procurement teams regarding freight rates and space availability.
• Upload and maintain required shipping documents in the eDoc system accurately and on time.
• Monitor shipment timelines and ensure monthly reports required by customers are completed accurately and within deadlines.
• Ensure timely and accurate shipment costing and invoicing in accordance with company KPIs and customer requirements.
• Release invoices together with the required supporting documents.
• Monitor payment collection for customers under cash terms prior to the release of shipments.
• Ensure shipment costs are accurately updated in CW1.
• Verify vendor and intercompany invoices and raise disputes for any discrepancies or incorrect charges.
• Handle and resolve billing disputes and enquiries from customers and overseas offices in a timely manner.
• Monitor the validity of customer quotations and update the respective sales personnel accordingly.
• Participate in company projects, process improvement initiatives, and other assignments as required.

Requirements:

• Minimum 2 year of working experience in Sea Freight Export, freight forwarding, or logistics operations.
• Experience handling end-to-end Sea Freight Export/Import shipments will be an added advantage.
• Familiar with shipping documentation, including Bill of Lading, Master Bill of Lading, manifests, SOLAS/VGM, and other export-related documents.
• Knowledge of freight forwarding processes, shipping lines, and international logistics procedures.
• Experience using Cargo Wise One (CW1) or other freight forwarding systems will be an advantage.
• Familiarity with dangerous goods or hazardous cargo handling is preferred.
• Good communication and coordination skills with the ability to liaise with customers, overseas offices, shipping lines, and internal stakeholders.
• Detail-oriented with strong problem-solving and follow-up skills.
• Able to work independently and manage multiple shipments and deadlines in a fast-paced environment.
• Proficient in Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook/Email.
