Operations Executive, Warehouse

Job Purpose

The Operations Executive, Warehouse supports the Senior Manager, Warehouse in planning, coordinating, and overseeing daily warehouse operations, including last-mile delivery activities. The role is responsible for monitoring and managing third-party logistics (3PL) providers to ensure service performance meets agreed service level agreements (SLAs), while driving continuous process improvements to enhance operational efficiency.

Job Description

·       Coordinate with internal stakeholders to ensure smooth warehouse and distribution operations in accordance with established procedures.

·       Plan and coordinate daily delivery schedules with the in-house transportation team to ensure timely and accurate order fulfillment.

·       Monitor and manage the performance of third-party logistics (3PL) providers to ensure compliance with agreed SLAs and operational requirements.

·       Work closely with 3PL partners to identify and implement continuous process improvements to enhance efficiency and service quality.

·       Assist in developing, reviewing, and updating warehouse policies and procedures to strengthen internal controls and ensure proper operational practices.

·       Escalate workload, resource, and scheduling issues to the Senior Manager, Warehouse, and recommend appropriate solutions.

·       Support the implementation of departmental goals, objectives, and operational initiatives.

·       Participate in performance evaluations and other personnel-related activities as required.

·       Prepare, maintain, and analyze operational records, reports, and documentation related to warehouse activities.

·       Generate daily, weekly, and monthly operational reports and performance statistics.

·       Review and verify 3PL billing reports to ensure accuracy and compliance with contractual agreements.

·       Investigate and resolve operational discrepancies, delivery issues, and customer complaints in a timely manner.

·       Ensure compliance with workplace health, safety, hygiene, and security standards.

·       Implement and monitor warehouse safety procedures and promote a safe working environment.

·       Perform other duties and responsibilities as assigned by management.

Job Requirements

·       Minimum 2–4 years of experience in warehouse operations or warehouse administration.

·       Good knowledge of warehouse operations and hands-on experience in managing third-party logistics (3PL) providers.

·       Experience in delivery planning, scheduling, and transportation coordination.

·       Strong analytical, organizational, and problem-solving skills.

·       Detail-oriented with a high level of accuracy.

·       Good communication and interpersonal skills, with the ability to provide clear instructions and coordinate effectively with internal and external stakeholders.

·       Self-motivated, proactive, and committed to achieving high operational standards.

·       Willing to take ownership of responsibilities and go the extra mile to meet business objectives.

·       Proficient in Microsoft Office applications; experience with ERP/WMS systems is an advantage.

·   Working hours - Monday to Friday, 7.45am to 5.30pm
