Operations Manager

Remote | Part-Time (20 Hours/Week to Start) | US EST Hours | Competitive Pay

We are looking for a highly organized, tech-savvy, and solutions-driven Operations Manager who can create structure, build efficient systems, and improve the way our organization operates.

We need someone who doesn't simply manage existing processes. The ideal candidate can identify operational gaps, create systems from scratch, automate repetitive tasks, and introduce better ways of working using Excel, AI, and modern technology.

Previous experience or a background in the jewelry industry is a strong plus.

Key Responsibilities

• Design and implement operational systems, workflows, and processes
• Develop and maintain SOPs, policies, trackers, dashboards, and documentation
• Identify operational bottlenecks and develop practical solutions
• Build advanced Excel and Google Sheets tools for tracking, reporting, forecasting, and analysis
• Create formulas, automated spreadsheets, dashboards, and management reports
• Establish and monitor KPIs and performance metrics
• Research, test, and implement AI tools that can improve productivity and efficiency
• Use AI and automation to streamline repetitive administrative and operational tasks
• Coordinate across departments and ensure deadlines and deliverables are met
• Improve communication and accountability between team members and departments
• Organize company data, files, reports, and operational information
• Provide management with clear reports, insights, and recommendations
• Train team members on newly implemented processes, systems, and technology
• Continuously evaluate operations and recommend opportunities for improvement

Required Skills & Qualifications

• Proven experience in Operations Management, Business Operations, Project Management, or Process Improvement
• Advanced Excel and Google Sheets skills are required
• Strong knowledge of formulas such as XLOOKUP/VLOOKUP, INDEX-MATCH, IF/IFS, SUMIFS, COUNTIFS, Pivot Tables, conditional formulas, and data analysis
• Demonstrated ability to create operational systems and processes from scratch
• Strong understanding of existing AI tools and the ability to quickly learn and utilize new AI technologies
• Experience with workflow automation and productivity tools is highly preferred
• Exceptional written and verbal English communication skills
• Excellent organizational and time-management skills
• Strong analytical and problem-solving abilities
• Detail-oriented while still able to see the bigger operational picture
• Ability to manage multiple priorities and projects simultaneously
• Proactive, resourceful, and comfortable working independently

Preferred Experience

• Background or previous experience in the jewelry industry is a strong plus
• Experience with jewelry operations, inventory management, production, order processing, wholesale/retail, or jewelry e-commerce is highly desirable
• Experience working with CRM, ERP, inventory, project management, or workflow automation platforms is an advantage
