Operations Manager

Job Overview

We are seeking an experienced and highly motivated Operations Manager to oversee the day-to-day operations of our growing home care agency. This position requires strong experience in caregiver staffing, human resources, care coordination, client services, and healthcare operations.

The ideal candidate will be hands-on, organized, responsive, and comfortable managing both employees and client needs in a fast-paced home care environment.

An important part of this position will also involve business development and community outreach, including building relationships with hospital and facility case managers, social workers, discharge planners, senior living communities, rehabilitation facilities, and other healthcare referral sources.

Key Responsibilities

Staffing & Care Coordination

• Manage daily caregiver staffing and scheduling to ensure all client shifts are appropriately covered.
• Recruit, interview, onboard, and retain qualified caregivers.
• Respond quickly to call-offs, scheduling conflicts, and last-minute staffing needs.
• Match caregivers with clients based on skills, availability, location, and client preferences.
• Coordinate new client starts and ensure smooth transitions of care.
• Maintain regular communication with clients, families, and caregivers.
• Follow up on service concerns and resolve staffing or care-related issues promptly.

Human Resources & Operations

• Oversee caregiver onboarding, personnel documentation, credentialing, and compliance requirements.
• Monitor employee performance, attendance, reliability, and professionalism.
• Assist with coaching, corrective action, and employee relations matters.
• Maintain accurate employee and client records.
• Help ensure agency operations comply with company policies and applicable home care regulations.
• Work closely with ownership/leadership to improve operational efficiency, caregiver retention, and client satisfaction.

Qualifications

• 3 plus years of experience in home care
• 3 plus years experience with caregiver staffing and scheduling
• Experience in HR, recruiting, employee relations, or caregiver management
• Understanding of care coordination and client service.
• Strong communication, organizational, and problem-solving skills.
• Ability to handle urgent staffing situations and multiple priorities simultaneously.
• Comfortable conducting community outreach and developing professional referral relationships.
• Strong customer-service mindset and ability to communicate professionally with clients, families, caregivers, and healthcare professionals.
• Proficiency with computers and scheduling/home care software preferred.

Ideal Candidate

The right candidate will be able to manage caregiver staffing and client needs while also proactively developing relationships with case managers, social workers, discharge planners, and other professionals who can refer clients to the agency.
